Job Description:

We are currently seeking a Purchasing and Administration Assistant, to join our Shop team in one of the most iconic buildings in the world, St Paul’s Cathedral.

Supporting the team in a busy retail environment and reporting directly to the Buyer, the Purchasing and Administration Assistant (PAA) will ensure that the St Paul’s Cathedral Gift Shop is stocked with the relevant products, to ensure that St Paul’s Cathedral Enterprises Ltd. maximise on commercial opportunities through successful management of our EPOS system, setting up products on our sales platform, correspondence with suppliers and internal stakeholders.

Also offering additional administrative assistance to the Buyer by managing and maintaining the eCommerce website and ensuring smooth operation for back-of-house activities on a daily basis.

Under the direction of the Buyer:

  • Planning, monitoring and maintaining suitable inventory levels.
  • Ensuring products are purchased at the right time, to specification and at a good price.
  • Assist the Buyer with stock analysis and reporting, compiling reports on product performance and statistics.
  • Update company / supplier details including set up of new products, cost values and subsequent retail pricing.
  • Input delivery of stock onto the Cathedral’s EPOS system with accuracy, collating invoices with all relevant documentation and ensuring all records are correct.
  • Ensuring accurate cost recording for set up of new products, price changes and promotions / amendments, conducting investigations whenever discrepancies arise.
  • Reconcile delivery notes and purchase orders received, liaising with suppliers and staff when necessary to obtain proof of delivery.
  • On occasions to arrange and attend supplier meetings.
  • Assist in the setup of new products, price changes, promotions and product amendments.
  • Tracking orders and ensuring timely delivery of all stock.
  • Carrying out perpetual stock checks with the Floor Manager on a weekly, monthly and quarterly basis and assist with the annual stock take.
  • Undertake general administration duties and support the Buyer as and when required.
  • Update and maintain the St Paul’s shop e-commerce website, uploading stock images and content. Ensure the St Paul’s Shop e-commerce website is regularly updated and managed, including the uploading of images and content to keep it current and engaging for customers.
  • To work closely with the shop team with product knowledge and answering any queries with regards to suppliers and ranges.
  • Positively contribute to the overall commercial success of the retail operation.
  • Support in curating social media posts to boost the visibility of the St Paul’s shop merchandise in line with the St Paul’s Cathedral policies.
  • To help promote the retail business internally to capitalise on opportunities in programming (book launches, summer lates, evening events, Christmas tie-ins).
  • Stay connected with sector and industry developments, news and innovations.
  • Be proactive in managing one’s own learning and ensuring continuous professional development that is relevant to the responsibilities of the role.
  • To attend trade shows and keep abreast of retail trends and opportunities.
  • Undertake any other duties that may be required.
Person specification
  • Good skills in Microsoft Office, especially Excel, Word and Outlook.
  • A good standard of numeracy, literacy and commercial awareness.
  • Experience in working in a busy retail environment, and undertaking purchasing activities.
  • A good understanding of supply chain procedures.
  • Show a proactive approach in solving problems and the flexibility to handle unforeseen circumstances with ease, working calmly under pressure.
  • Experience of using epos (electronic point of sale) and inventory management systems
  • Some knowledge of Shopify or similar e-commerce online platforms.
  • Proficient in data entry, demonstrating good accuracy skills and possessing the capability to review own work.
  • Having confidence in working independently and being proactive, while also being a team-oriented individual, is highly desirable.
  • Ability to build strong and effective working relationships internally across functions and externally at all levels.
  • Well-established skills in organisation, prioritisation and time management; with a track record of consistently meeting tight deadlines and accomplishing set goals.
  • Adherence to Cathedral Safeguarding Policies and willingness to attend Safeguarding training.
  • Experience of working in the heritage sector
  • Experience of using Cybertill (not essential as training will be given)
