Our organisation is dynamic and committed to implementing innovative ideas to benefit our loyal client base.

This position suits someone who thrives in a competitive industry. A determined and enthusiastic individual will receive strong support and encouragement from the organisation to help grow the business.

What you will be doing

This role involves working on a major sporting event series, providing exposure to all aspects of delivery. You should work well under pressure and have meticulous attention to detail.

You will be passionate about operations, enjoy planning and executing successful sporting events, and be comfortable managing spreadsheets, rooming lists, and flight manifests, while engaging with clients. You should be equally adept at working with a team and independently.

You will work with suppliers, both new and established, with a focus on profitability. The role is high energy, engaging, and fast-paced, involving significant customer interaction via in person, phone, or email communication, with a focus on delivering excellent customer service.

Reporting to the Project Director, your responsibilities will include:

  1. Contacting suitable hotels that meet client requirements and standards.
  2. Negotiating hotel rates.
  3. Providing comprehensive proposals outlining hotel offerings, services, and financials.
  4. Contract negotiation, ensuring all legal clauses are included.
  5. Managing all financial aspects of contracts post-signature.
  6. Overseeing travel and rooming lists using CTM Sport’s software.
  7. Tracking amendments, cancellations, and additions.
  8. Generating reports for clients.
  9. Finalising MASTER and IPO accounts.
  10. Reconciling all events within agreed timeframes.
  11. Overseas travel may be required.
  12. Supporting outside of regular hours and weekends as most operations occur outside of standard office hours.

Skills and Experience Required

  • 3-5 years of experience in event or sport management.
  • Strong organisational skills.
  • Proficiency in Microsoft Office, especially Excel.
  • SharePoint experience.
  • Experience with Events Air system.
  • Experience managing high-profile events, including multiple hotels.
  • Previous onsite and face-to-face client interaction experience.

What we’re looking for

Beyond your organisational and communication skills, you should be a positive, fun person to work with. We value a team-oriented, supportive environment and want to add to our dynamic team.

You will have:

  • A positive attitude and proactive approach.
  • Attention to detail and accuracy.
  • Ability to prioritise and meet deadlines.
  • Teamwork passion.
  • Excellent interpersonal skills for client and colleague communication.
  • Calmness under pressure.
  • Strong commitment to tasks.
  • Ability to identify profit opportunities.
  • High discretion.
