Job description

Special Purpose Fund Administrator
London, W2 (with hybrid working and travel between our hospital sites)

About us

We're Imperial Health Charity, an organisation that helps our hospitals do more through grants, arts, volunteering, and fundraising. We support the five hospitals of Imperial College Healthcare NHS Trust: Charing Cross, Hammersmith, Queen Charlotte's & Chelsea, St Mary's, and the Western Eye.

We are now looking for a Special Purpose Fund Administrator to join us on a part-time, permanent basis, working 28 hours per week, with a hybrid working arrangement requiring a minimum of two days per week onsite.

Working within our grants team, this role supports the effective management of our special purpose funds (SPFs) - charitable donations designated for specific services across Imperial College Healthcare NHS Trust. These funds enable projects and initiatives that go above and beyond what the NHS can typically offer, enhancing the experience of both patients and staff.

The Benefits

- Salary of £24,271.20 per annum (full-time equivalent £30,339)
- 25 days' holiday per year plus bank holidays (pro rata)
- An extra day's holiday to be taken one week either side of your birthday
- Pension (with employer contributions of 10%)
- Sick pay
- Support towards healthcare costs, including eye tests and dental, and access to mental health support through counselling
- Additional access to gym discounts
- Interest-free season ticket loan
- Life assurance
- Staff arts club, including free entry to London galleries
- Access to a range of high street and online discounts

This is a fantastic opportunity for a highly organised administrator with financial and stakeholder engagement experience to play a vital role in supporting NHS projects that make a real difference.

You'll join a collaborative and inclusive environment on a part-time basis, giving you the space to balance work with other commitments while contributing to impactful healthcare initiatives.

What's more, alongside meaningful work, you'll benefit from a generous range of perks and development opportunities that support your wellbeing and help you thrive both personally and professionally.

The Role

As a Special Purpose Fund Administrator, you will support the management of our special purpose funds (SPFs), which contain charitable donations to support services across the organisation.

Specifically, you will deliver high-quality administration and stakeholder engagement to ensure smooth SPF operations, working with finance systems, internal databases and NHS staff to process payments, manage claims and support fund governance.

You will also engage regularly with fund advisers, supporting compliance, sharing guidance and facilitating meetings and communications to help them make best use of their funds.

Additionally, you will:

- Manage the SPF email inbox and act as first point of contact
- Authorise reimbursements and process invoices in line with governance guidelines
- Maintain accurate financial and SPF records across relevant systems
- Support fund adviser engagement and assist with governance reviews and surveys
- Provide administrative support to the Fund Engagement Officer and wider team

About You

To be considered as a Special Purpose Fund Administrator, you will need:

- Experience of finance administration and invoice processing
- Experience of managing data via finance systems and grants databases
- Attention to detail and the ability to resolve errors swiftly
- Proficiency in Microsoft Office and CRM databases
- The ability to manage competing demands and maintain confidentiality

Please note, this role will require a DBS check.
