Space Planning & Move Co-Ordinator
Location: Central Scotland (occasional overnight stays required)
The Space Planning & Move Co-Ordinator role includes, but is not limited to, the following tasks:
- Delivering space planning rearrangements.
- Planning and implementing move projects, tasks, and move layout designs.
- Managing day-to-day small moves, office reconfigurations, and new furniture requests.
- Generating tasks and requests for maintenance or services related to moves.
- AutoCAD experience is essential.
Qualifications / Experience
The core skills required include space planning, stakeholder engagement, contractor management, move management, and knowledge of building regulations related to office design. Interior Design or architectural skills are advantageous but not essential.
Operational Responsibilities
- Build strong relationships with stakeholders and project managers to understand upcoming work.
- Schedule works to maximize value for the client and customer.
- Maintain the Moves tracker document regularly.
- Ensure purchase orders are raised and tracked before work begins.
- Provide regular updates on workload and pipeline works to the MAC & Space Planning manager.
- Monitor workloads and report on resource utilization.
- Manage processes for MAC, maintaining all within a live system.
- Liaise with Delivery Managers and vendors.
- Ensure all completion documentation is in place and filed post-project.
- Attend weekly coordination and scheduling meetings and present updates confidently.
- Approve e-permits, access permits, and contractor RAMS for small works.
Managing Risks, Opportunities, and Issues
- Analyze significant risks and recommend or initiate corrective actions.
- Ensure all works have financial approval before scheduling.
- Track costs, including ISS costs and direct costs.
Client Relationships
- Maintain daily contact with client representatives and stakeholders to review operational matters.
- Respond promptly to operational issues.
- Provide regular updates and financial management information.
- Highlight safety issues to the team.
- Conduct operations respecting environmental standards, legislation, and regulatory requirements.
Quality Assurance
- Ensure high standards in all daily activities to meet ISS and external quality standards.
Experience Requirements
- Proven experience with AutoCAD software.
- Experience in delivering space planning rearrangements.
- Understanding of Building Regulations.
- Experience in managing financial tracking and operations.
- Experience estimating project costs and preparing cost documents.
- Experience managing and coordinating move projects.
- Proficiency with Microsoft Office Suite, including Teams.
- Ability to manage time effectively and deliver quality information to stakeholders.
