Job Title: Site Administrator

As a Site Administrator, you will support the preparation, distribution, and storage of project documentation in line with company processes. You will serve Site Management, Engineering, Quality Management, and Project Management teams.
Responsibilities include:
- Performing administrative duties to meet project objectives.
- Handling office tasks such as photocopying, scanning, filing, inventory, ordering supplies, booking meetings, and arranging catering.
- Creating operative profiles and issuing site access passes.
- Inputting data for daily allocation sheets.
- Compiling daily site reports with support from Site Management.
- Managing document control activities, ensuring proper version control and distribution of project documentation.
- Distributing engineering documentation to suppliers, clients, and sites.
- Managing receipt and control of engineering documentation from suppliers and clients.
- Setting up and maintaining the document management system in collaboration with the project team.
- Assisting in updating project document lists.
- Preparing and collating H&S files and technical manuals.
- Supporting off-site documentation activities such as scanning and filing at customer premises.
- Reviewing and communicating project progress to line management, ensuring key deliverables are met on time and within budget.
- Providing guidance and coaching to colleagues on documentation control issues.
- Contributing to process improvements in document management systems.
Additional Position Details:
- Site-based role with occasional UK travel.
- Use of project systems like ProjectWise, SharePoint, PIRS, FastDraft, Data Scope, Autodesk, BIM360, MS Office.
Required Experience:
- Knowledge of documentation control systems (e.g., PIRS, ProjectWise).
- Proficiency in Microsoft Office, Adobe Acrobat, CAD, and document management tools.
- Understanding of industry-standard documentation practices.
- Experience on active construction sites is desirable.
- Knowledge of relevant client requirements (e.g., National Grid, SSE, SPEN, DNO).
- Familiarity with SOBIS PIRS project information tool is a plus.
Educational Qualifications:
- Bachelor's degree (or equivalent NVQ Level 6) with relevant experience, or college diploma (NVQ Level 3) with extensive experience.
