Outline of the role and project

We are recruiting for a Site Administrator on the Farrans Stansted Airport project. You will manage and coordinate all administrative duties, ensuring timely and accurate information flow for the Project Manager and site teams.

Responsibilities include:

  • Main point of contact for all visitors to site / front of house. Deal with clients and customers professionally via email and face-to-face. Ensure visitors are signed in, have the correct PPE, and assist with inductions on arrival.
  • Perform general office duties such as ordering supplies, PPE, consumables, managing petty cash, and updating information boards on site.
  • Manage the delivery docket approval process, obtain approvals from relevant team members using Coins OA, and keep the signature list updated.
  • Ensure invoices are signed and approved promptly.
  • Serve as the Project Superuser for the access control system, MSite. Issue registration emails to new users, monitor expiry dates for trade cards, and run reports and audits.
  • Handle document control tasks, including data entry and uploading documents into systems like Aconex.
  • Support the Social Value Team in achieving project targets, liaise with stakeholders, local councils, employment partners, and educational institutions. Produce progress reports and coordinate CCS audits.
  • Manage PPE register, populate charge sheets, oversee weekly plant hire and return, and assist with labour invoicing and timesheets.
  • Monitor safety observations, data entry for inspection sheets, training attendance, safety statistics, and manage LOLER, PUWER paperwork, traffic management inspections, and permits.
  • Assist HR with onboarding new employees and leavers.
  • Support Learning and Development with site training, liaise with site graduates and apprentices regarding queries.
  • Monitor the weekly Quality Duty Chart, ensuring all tasks are allocated to personnel.
  • Complete waste transfer notes, licenses, track waste, submit water meter readings, and document site best practices (photos). Record subcontractor waste and fuel usage, goods/materials purchased, delivery miles, and subcontractor commuting mileage.
  • This list is not exhaustive; additional duties may be assigned by onsite management.
