This job description provides an overview of the key responsibilities for the Site Administrator role. It may be subject to change based on the evolving needs of the company.

Responsibilities and accountabilities can vary or change from time to time based on business / project requirements.

Role

As a Site Administrator, your role is to support your site team with the project’s day-to-day operations. This includes managing and organising administrative tasks, coordinating schedules, handling communications, maintaining accurate records using the company EDMS (Procore) and other systems, and ensuring that site procedures and protocols are followed. You will address administrative challenges to enhance overall productivity and effectiveness of the project’s site team. Your ability to multitask, prioritise tasks, and communicate effectively is essential to the role.

Key Responsibilities
  • On boarding Support — Coordinating with and assisting the Head Office admin team in the on-boarding of new starters (which includes but is not limited to) setting up new IT equipment.
  • Document Management — Filing, scanning, uploading any hardcopy documents (RAMS Sign Off sheets etc.). Promote the company’s paperless ethos and drive users to use soft copy documents.
  • Procore Document Control — Ensure drawings are up to date on the system and that the project teams are working to the latest revisions. Provide ad hoc Procore training to team members. Add new starters to Procore. Scanning and filing. Generate reports of various tools (RFIs, Submittals, etc.) for the Design Manager / Site Team.
  • Office Management — Promote the site office Clean & Tidy Office Space policy. Replenish printer cartridges, stationery, utensils, etc. as required.
  • Administrative Support — Support the delivery of CSR and S106 commitments, including coordinating activities, tracking progress, and liaising with relevant stakeholders. Arrange travel for site team members (booking trains and hotels). Manage site meeting rooms and hot desk diary when applicable. Assist in planning and coordinating site team events. Welcome visitors and guide them to the appropriate person, office, or meeting room.
  • IT and Systems Support — Support the Information Systems Manager with tasks as required.
Essential requirements
  • Mandatory requirements: GCSE or equivalent (required); Site based Administrative: 2 years (required); Document control site management: 2 years (required).
Experience and knowledge
  • Familiarity with EDMS systems such as Procore (training will be provided).
  • Experience of capacity building, and organisational support.
  • Health & Safety awareness or certifications (preferable).
Skills and abilities
  • Detail-oriented with a high level of accuracy.
  • Ability to assist the project team deliver O&M Manuals.
  • Be comfortable and confident on site and around various site teams.
  • Ability to multi-task on different projects.
  • Proactive and able to work independently as well as part of a team.
  • Ability to handle sensitive information (in the form of Induction sheets etc.).
  • General IT skills, proficient user of Microsoft Office suite including Word, Excel, Outlook, and SharePoint.
  • Excellent planning, organisational and time management skills.
  • Excellent written and verbal English communication skills.
  • Able to communicate complex concepts concisely to non-technical staff both in writing and verbally.
