Reports to: Project Manager & Team Leader

Reports overall: General Manager

The main purpose of the job:

We are looking for a Project Coordinator to provide expert services to Galleries, Institutions, and Private Clients both in the UK and Internationally. They will become the main contact for specific client accounts as allocated by the Team Leader. We are seeking candidates with a minimum of 2 years of relevant experience but also encourage individuals with 5 or more years of experience to apply, and are keen to hear from a diverse range of experience levels.

Responsibilities and tasks:

  1. To be an integral part of the Gallery and Collector Team focusing on providing a premium service.
  2. Provide support to colleagues and junior members of the team.
  3. A good knowledge of IT and shipping methods.
  4. Provide quick but accurate responses to enquiries and estimate requests.
  5. Maintain existing client base and build relationships with new clients.
  6. Book transport, crate orders, liaise with agents, clients, airlines, shipping lines and other bodies within our industry.
  7. Maintain files electronically in a clear and detailed order.
  8. Manage and deliver projects within the time/budget constraints of the estimate provided, whilst keeping clients informed of any changes.
  9. Ensure all work is handled in a confidential, professional, and consistent manner.
  10. Plan your workload to meet deadlines.
  11. In-house training will be provided.
  12. Be flexible with your working time depending on the project.
