Role overview:

Firetecnics is seeking a proactive and highly organized Service Coordinator to join our team on a permanent basis. This is a key role in ensuring the efficient and professional delivery of our service operations. You'll work closely with engineers, clients, and internal teams to ensure all planned and reactive works are completed effectively and on time.

The role:

  1. Taking reactive call outs and allocating them to the relevant engineers
  2. Effective planning and scheduling of the monthly planned preventative maintenance workload
  3. Liaising with clients to arrange appointments for engineers’ attendances
  4. Liaising with field engineers on jobs
  5. Using Microsoft packages on a daily basis e.g., Excel, Outlook
  6. Updating in-house systems with daily activities
  7. Building strong relationships with external subcontractors
  8. Compiling necessary paperwork from services and call outs completed
  9. Providing engineers reports to clients following engineers’ visits
  10. Requesting purchase orders from clients as and when necessary
  11. Updating the client portals, as necessary
  12. Working alongside Operations Manager and liaising with the sales team
  13. In addition to the above, general ad-hoc duties as required

Qualities

The qualities required to be successful in this role are:

  1. An understanding or background of the fire alarm industry would be advantageous
  2. Excellent communicator with clients as well as co-workers
  3. Able to allocate workload to engineers in the most efficient manner
  4. Able to prioritise workload, even under highly pressurised circumstances
  5. Able to motivate engineers
  6. Work under own initiative
  7. Perform tasks efficiently, with a high level of accuracy
  8. Driven by results
  9. Possess a polite and professional telephone manner
  10. Proactive & Strong Self-Motivation
  11. Fast/Efficient Learner
  12. Commercially minded

Skills

  1. A Minimum of 5 years of proven clerical and administrative experience in the service industry
  2. Proficient in MS Word, Excel, etc.
  3. Experience within the fire safety industry is highly desirable but not essential
