Qualifications

  • 1+ years experience as a Service Advisor in the retail motor industry is preferred.

  • Prepare daily and monthly job card reports.

Job description

Purpose of the Job

Manage job cards, liaise with customers, and handle administrative duties to ensure accurate transaction recording on Embrace. Support workshop efficiency in coordination with the Workshop Manager while delivering excellent customer service.

Key Responsibilities
Job Cards
  • Opening and closing job cards
  • Posting of Labour
  • Correct start & end dates on job cards
  • Correct fault codes to be used
  • Updating location, progress of the job card, etc.
  • Outwork orders on job cards
  • Accurate costing and closing of job card
Outwork – Quotes and Orders
  • Obtain quotes
  • Create orders on Embrace
  • Requisition and Quote to be signed off by Manager
  • Attach signed-off quotes on Embrace, await approval before sending to supplier
  • Convert order upon approval and send to supplier
  • On order completion, submit signed invoices and delivery note with PO pack for GRV
Customer Service
  • Ensure timely feedback to customers regarding services, quotations, and repairs
  • Assist customers in a friendly and professional manner
Work In Progress
  • Maintain minimal open Job cards in WIP
  • Resolve issues related to job cards promptly
  • Manage WIP report daily
  • Report on WIP as requested
General
  • Prepare Daily & Monthly Job Card Reports
  • Prepare Purchase Order Report
  • Weekly filing
  • Maintain high standards of customer service
  • Monitor Time and Attendance
  • Assist in Stock Takes
  • Ensure paperwork is accurate and up to date
  • Maintain housekeeping standards daily
  • Ensure health and safety standards are upheld
  • Perform general admin duties
Minimum Requirements
  • Grade 12 (Matric)
  • At least 1-year experience as a Service Advisor
  • Experience in the retail motor industry is an advantage

  • Identify hazards and handle them with guidance
