Job Description:

We are recruiting for a Senior Project Administrator within our Division of Population Health and Genomics at the School of Medicine, to support the National SHARE Programme Manager and wider SHARE team. You will play an active role in managing and maintaining administrative processes for the general SHARE office as well as providing comprehensive support to ensure all project milestones are met. This is a fixed-term appointment until 31st March 2026 (possibility of extension).

This is a rare opportunity to join an exciting initiative funded by the Chief Scientist Office at the Scottish Government and asset of NHS Research Scotland. The aim of SHARE is to build a volunteer register of up to 1 million residents in Scotland (currently over 300,000) who have expressed an interest in being contacted about health research.

Based in Ninewells Hospital, one of Europe's largest teaching hospitals, the School of Medicine provides outstanding medical education and training supported by world class research facilities.

Your priorities will include:

  • Organise meetings, take minutes, prepare relevant papers.
  • Assist with all aspects of project management to ensure milestones are met.
  • Act as first point of contact for the SHARE project liaising with key stakeholders, board members and funders.
  • Recruit participants to the SHARE register in outpatient clinics and seek to promote SHARE at every opportunity.
  • Provide induction guidance to new staff members, provide training where necessary (on and off-site).
  • Responsibility for administration of all finance related activities across the project, produce reports to Programme Manager.
  • Supervision of Administrative Assistant posts.

Who we're looking for:

  • Excellent communication, organisational, administrative and interpersonal skills.
  • Highly motivated team player with ability to problem-solve and use own initiative.
  • Display a positive and enthusiastic demeanour, personal qualities of flexibility and reliability.
  • Exercise high levels of discretion and confidentiality.
  • Educated to HNC/HND level in appropriate subject area or equivalent work experience.
