Job Description

To assist the Business Coordinator to supervise the Repairs Schedulers. To be responsible for all staff that schedule repairs and services; for daily work flow scheduling; for data collection and maintaining software/paper systems of all repairs and cyclical servicing information; to ensure excellent customer care; and for ensuring all procedures and data stored complies with the Scottish Housing Regulators requirements.

Responsibilities

To be responsible for the administration of the Council's repairs and maintenance appointment and workflow scheduling system and to ensure that all repairs and cyclic servicing is scheduled in line with agreed policy and procedure to meet key performance targets and provide value for money.

To undertake technical and administration duties as directed by the Business Coordinator to ensure key performance targets are met and that all data is recorded and presented in a manner that complies with the requirements of the Scottish Housing Regulator.

Be responsible for your own performance and to work in a positive manner within a team environment.

To provide good customer care in accordance with Council policy and to consider their needs in service delivery.

To comply with all Health and Safety and security procedures and guidelines. To undertake training as required.

The Individual

Considerable administration/technical experience in relation to workforce scheduling and accurately recording/storing data.

Previous customer contact experience 4 SQA standard grades or equivalent at level 3 or above including English and Maths *

Accuracy and attention to detail when recording information.

Ability to prioritise self and others, with good organisational skills.

Willingness to work in a demanding position where a flexible approach is required.

Self confident and self- motivated ICT skills.

Effective organisational/planning and time management skills.

Knowledge and understanding of workflow scheduling software

Effective communication skills (written or oral).

Proven track record.

Ability to work as part of a team or using own initiative where required.

Ability to relate well with all levels of staff and public

Ability to work in an open plan office/or different offices

Ability to work flexibly to meet the needs and demands of the service

Able to work under pressure to balance competing demands and sustain outputs

This is an exciting opportunity to become part of our Building Services team at the DLO, that directly employ over 150 multi trade and specialist support staff. Services provided include building maintenance and improvement services to the Council's 6,300 houses, as well as reactive and planned maintenance too other Council building that includes schools, offices and libraries.

Closing date - 15 August 2025

Starting Salary - £30,405.05

36.25hrs per week

£16.13 per hour
