Support Bid No Bid Process

Assist in the bid/no-bid process with preliminary reviews of enquiries, participate in or lead meetings, and follow up on actions to facilitate appropriate bid decisions.

Main Responsibilities

(Note: specific jobs may focus on particular types of proposals, e.g., project or term services, but personnel should be flexible to meet business needs. The role may require managing multiple proposals simultaneously.)

  • Act as Proposal Lead: accountable for all activities, managing and guiding the team to create a winning proposal.
  • Review all client documentation and assign owners for review.
  • Attend site visits.
  • Manage all clarifications, raising and reviewing them as appropriate.
  • Liaise with clients and record all correspondence.
  • Review and summarize opportunity requirements (e.g., scope of work, timing, contract, and commercial model).
  • Manage development of the win plan.
  • Review commercial requirements and develop the commercial strategy.
  • Develop and maintain action plans, ensuring timely delivery of quality outputs.
  • Work with Estimating to define strategy and review estimates and pricing.
  • Lead development of project schedules.
  • Lead risk review processes.
  • Develop submission documentation aligned with strategy, reviewing for relevance, specificity, and accuracy.
  • Collaborate with Pre-Contract Commercial to develop contractual comments.
  • Engage with Operations and other areas for support and validation.
  • Manage review and approval processes per governance.
  • Coordinate with Sales/Business Development for proposal development and client engagement.
  • Follow up on submissions to maintain client engagement, address clarifications, and secure work.
  • Handover and close out proposals as per governance.
  • Report internally, provide feedback, and raise issues promptly.

Maintain CRM (Salesforce) for proposals in coordination with Sales/BD.

For Prequalifications
  • Lead and manage prequalification exercises.
Additional Responsibilities
  • Conduct independent reviews and participate in review meetings.
  • Provide input and support for proposals and prequalifications.
Other
  • Network internally and externally to support core functions.
  • Contribute to the proposal library.
  • Support expenditure management against proposal budgets.

  • Demonstrate flexibility to support all proposal department activities.
Experience & Qualifications
  • HNC / HND / Degree preferred.
  • Project management, commercial, engineering, or related qualifications beneficial.
  • Relevant operational experience in similar industries and scopes (e.g., Project Manager, Site Manager, Contract Manager).
  • Experience in complex proposals, working with multidisciplinary teams to deliver high-quality submissions on time.
  • Technical knowledge and experience relevant to the role.
  • Experience in estimating, cost control, or review processes.
  • Ability to create and present impactful documents and proposals.
  • Strong communication skills, both verbal and written.
