We are looking for Senior Project Support Officers to support the delivery of the programmes’ objectives by working closely with programme and project managers and the senior leadership team.
Activities include:
- Administration of key support contracts, such as site supervisors and principal designers.
- Supporting the senior leadership team with the effective running of key meetings, including organising, taking notes /minutes and coordinating follow up actions
implementing and maintaining appropriate systems to enable effective planning and scheduling
- Preparing project and programme performance reports, keeping the project and programme managers aware of status and issues, to support governance and assurance ensuring organisational tasks are carried out efficiently
- Managing potential risk areas, working with risk managers and escalating as appropriate
- Supporting the team with SOP, Teams and SharePoint etc. You will be the Site Owner for the team’s SharePoint sites being responsible for management for the sites including managing permissions, the site structure, design and uploading accurate and up to date content and providing Site Owner support to the broader Collaborative Delivery Community Hub.
Responding to incidents is a central part of what the EA does. You will be required to have an incident role and make yourself available to respond to incidents or provide business continuity support during incidents. Supporting incident response may attract an additional payment as well as facilitating further career development as it gives you the opportunity to see how other parts of the business work. Full training and alternative working arrangements will be available to support you with your incident role.
The team
We are the Programme and Contracts Management team (PCM), creating a better place through excellence in project and programme management. The North East PCM hub is led by a Delivery Manager overseeing 70-120 staff, supported by Programme Specialists, Programme Managers and Project Team Managers (PTM). Each PTM manages Project Executives, Project Managers and Project Support Officers who manage the delivery of projects within our flood & coastal erosion risk management programme using our framework suppliers.
Experience/skills Required
The following are essential for the role:
- Highly organised and self-motivated with excellent planning skills and attention to detail
- Comfortable working to tight deadlines, proactively using your initiative, working collaboratively and managing your own workload
- Able to work with a variety of teams and build strong working relationships
- Enjoy helping colleagues and take pride in your work.
- Awareness of contract management and / or finances
- Confident and proficient with Microsoft office tools, including Outlook, Word, Excel and PowerPoint
- Confident and experienced in using SharePoint and MS-Teams
The following are desirable:
- Experience of working in a project environment
- Experience of administering and managing contracts
- Experience as Site Owner / administrator for Microsoft Teams and SharePoint
