Senior PA Job Description

Marcilly Recruitment is seeking an extremely high calibre Senior PA with a minimum of eight years’ experience working in a demanding, UHNW private household. The successful Senior PA will be someone who is hugely personable, charismatic, loyal, enthusiastic, and capable of working in a pressurised and demanding environment with a huge workload, working efficiently with pace. They must be a strong team player with excellent communication and negotiation skills. What is paramount for the role is a good eye for detail, delivering the very highest standards in every aspect of work.

Marcilly Recruitment’s high-profile client desires someone who has demonstrated long-term, close relationships with previous employers. Discretion and professionalism are key due to the close working relationship and high-profile nature of the role.

There is a Junior PA to assist with daily management of the residence, but the Senior PA will oversee overall household management and ensure the main London residence operates at full efficiency, delegating responsibilities as appropriate.

The successful candidate must possess strong business acumen, initiative, and refined systems and processes to enhance the efficiency of the family office, household, and projects. They are open to suggestions for operational improvements to ensure smooth functioning in this chaotic environment.

Salary: £85K-£100K — flexibility for the right candidate

Start date: Flexible for the right candidate; not a rushed hire

Location: On-site five days a week with some flexibility during travel

Hours: 08:30 - 17:30 with flexibility as needed due to the demanding role

This role is part of a supportive, professional, and collaborative team within the family office, dedicated to achieving the principal's goals.

Senior PA Responsibilities

  • Manage London residence and household staff: oversee daily operations, supervise staff (housekeepers, chefs, gardeners), manage schedules, hire and train new staff.
  • Maintain and upkeep the London residence: conduct inspections, arrange repairs, manage inventory, oversee landscaping, and coordinate contractor visits, ensuring protocols are followed.
  • Manage visitors and guests: coordinate arrivals, departures, and requirements, keeping staff informed.
  • Organize and coordinate events and parties at the residence.
  • Coordinate with the Chef on daily menus and keep staff updated on schedules.
  • Prepare the residence for family arrivals: manage flowers, food stock, cleaning, and maintenance, liaising with the family for special requests.
  • Plan and manage global travel arrangements: itineraries, accommodation, visas, private jets, yachts, ground transportation, staff, etc., including traveling with the principal when required.
  • Oversee packing and unpacking for trips.
  • Manage the principal’s product cupboard: monitor stock, purchase new items.
  • Handle all gifts: propose ideas, sign off, wrap, track, and deliver, maintaining stock of cards and gift wrap.
  • Manage the principal’s wardrobe: ensure organization and high standards.
  • Coordinate with the EA on personal upkeep and wellness schedules: treatments, hair, nails, etc., keeping records for invoicing.
  • Manage weekly exercise schedules, book classes and trainers.
  • Work closely with the EA on the principal’s calendar and meeting preparations.
  • Update and manage invitation lists and RSVPs.
  • Lead project management for household and personal life initiatives.
