Introduction

We’re seeking a highly organized and proactive Senior New Business Executive to support pitch processes and new business initiatives. This role involves coordinating timelines, preparing materials, and maintaining accurate tracking across all opportunities. You will work closely with internal teams to gather inputs, manage logistics for meetings and events, and support outreach efforts. This position is ideal for someone detail-oriented and collaborative, offering growth within a fast-paced, creative environment.

Mission & Responsibilities
  • Support the management of RFP and pitch processes.
  • Coordinate timelines, schedules, and status updates across workstreams.
  • Assist in preparing pitch materials, including decks, team bios, case studies, and credentials.
  • Liaise with internal teams to gather and format inputs for submissions.
  • Maintain and update the Global New Business tracking tool, tracking opportunities, stages, submissions, and outcomes to ensure accuracy and consistency.
  • Coordinate meetings and events, managing logistics, agendas, notes, and follow-ups.
  • Support the development of case studies and credentials by gathering project details, performance data, and creative assets, while working with the Communications Lead to keep the case study bank updated.
  • Research target companies and contacts, coordinate outreach, and track responses and meetings.
  • Manage key administrative processes, including maintaining folders, version control, calendars, and shared documents for active projects, ensuring organization and knowledge sharing.
Background/Experience & Skills
  • 2+ years’ experience in coordination, project support, or new business roles within a creative, media, or production agency.
  • Strong organizational skills with the ability to manage multiple timelines, schedules, and deliverables.
  • Experience supporting RFP and pitch processes, including coordinating inputs and formatting materials.
  • Proficient in CRM systems and tracking tools, with attention to detail and data accuracy.
  • Excellent stakeholder communication and cross-functional collaboration skills.
  • Confident in managing meeting logistics, agendas, notes, and follow-ups.
  • Experience preparing pitch materials such as decks, bios, case studies, and credentials.
  • Ability to conduct desk research to support lead generation and outreach.
  • Strong administrative skills, including version control, calendar management, and document organization.
  • Proactive, reliable, solutions-focused, and collaborative.
  • Excellent written and verbal communication skills.
