Job description

This role will be responsible for providing administrative support to the CAMHS team based at Mary Chapman House, supporting the Consultant Child & Adolescent Psychiatrist for them to be able to provide an efficient service to our service users.

We are looking for someone who can communicate in a professional manner with patients, relatives, professionals, with a compassionate nature and ability to remain calm when working under pressure. You will need to be able to prioritise your workload and to deal with confidential and sensitive issues in a professional manner with tact and diplomacy.

This post is part time, office based 15 hours per week, with the days and times to be agreed with the successful candidate.

Main duties of the job

You must possess excellent time management skills, a positive approach and be able to remain calm under pressure. The successful candidate will need to have the ability to deal with confidential and sensitive information which may include telephone calls from individuals who may sometimes be distressed or upset.

Training will be given; however previous administration experience is essential.

You will need to be able to demonstrate excellent communication, prioritisation and administration skills at the same time as showcasing your knowledge of IT systems.

You will also be able to evidence working flexibly and have experience of working to deadlines, on your own initiative and maintain confidentiality.

You may be asked to undertake other appropriate duties, as directed, being adaptable and flexible to service needs and changes across the locality.

Job responsibilities

Our Senior Medical Team Administrator will be responsible for providing a high level of administration support to identified medical colleagues within a Multi-Disciplinary Team.

  • Diary management; including booking clinics/ appointments and planning meetings and arranging travel arrangements
  • Drafting correspondence and updating records: audio and copy typing all letters, e-mails, summaries and reports paying particular attention to accuracy and presentation, completing within given deadlines.
  • To provide a confidential and efficient administrative service to teams.
  • Maintaining an efficient process of entering correspondence on to the Electronic Patient Record (EPR) system
  • Organise venues, accommodation and agendas for meetings.
Person Specification
Qualifications
  • Diploma / equivalent secretarial experience advanced level
  • NVQ 3 Business Administration or equivalent or willing to work towards
  • Knowledge of Trust electronic record system
Experience
  • Understanding and experience in a full range of secretarial procedures and systems gained through senior level.
  • Working on own initiative without supervision.
  • Ability to work with senior members of staff across a large organisation.
Other
  • Able to travel independently.
