About the Role
We are looking for a highly experienced and personable Senior Medical Secretary to provide dedicated support to private consultants operating from exclusive hospital-based consulting rooms in Central London, within the London Bridge and Harley Street areas.
This is a client-facing role based within the consultants’ private offices at a prestigious hospital location, requiring professionalism, warmth, and excellent communication skills. You will be present on-site during clinic days, ensuring a seamless experience for both patients and clinicians, and will liaise regularly with hospital teams to coordinate bookings and patient care.
Key Responsibilities
- Provide comprehensive administrative and secretarial support to consultants, including diary management, clinic preparation, and follow-up coordination.
- Be present in clinic to greet patients, support the consultant, and troubleshoot any on-the-day issues.
- Liaise face to face with hospital bookings teams and other departments to arrange investigations, procedures, or follow-up appointments.
- Draft, proofread, and distribute medical correspondence and reports accurately and promptly.
- Manage patient queries with empathy and professionalism, whether in person, over the phone, or via email.
- Process invoices and take payments directly from patients, managing insurance claims where applicable.
- Maintain and update patient records and documentation in line with data protection and confidentiality requirements.
- Coordinate referrals, test results, and clinical follow-ups to ensure continuity of care.
- Support with practice audits, policy updates, and process improvements where required.
Person Specification
Essential
- Proven experience in a Medical Secretary role, ideally within private healthcare.
- Strong knowledge of medical terminology and familiarity with clinical operations.
- Excellent interpersonal skills, with a warm and professional manner for face-to-face patient and hospital staff interaction.
- Highly organised with strong attention to detail and the ability to manage multiple priorities.
- Proficient in Microsoft Office and confident using practice management software (e.g. Carebit, DGL, or similar).
- Comfortable working independently and using initiative in a fast-paced environment.
- Committed to maintaining discretion and confidentiality at all times.
Desirable
- Experience working across multiple hospital sites or specialties.
- Familiarity with private medical insurance processes and billing.
- Leadership skills or prior experience supporting junior secretarial staff.
