Job Description:

Eden Scott’s client is seeking an experienced Senior Investment Administrator to join their team on an initial fixed-term contract of six months, with the potential for extension or a permanent opportunity.

Based in Edinburgh, this role will initially require you to work from the office for training and onboarding for 8 weeks, after which it will transition to a hybrid working model. You will play a key role in maintaining accurate accounting records for investment trust clients and will be responsible for a wide range of daily administrative and financial tasks.

Key Responsibilities
  • Maintain accurate records for a portfolio of investment trusts, ensuring all statutory registers and shareholder information are up-to-date and compliant with regulatory standards.
  • Coordinate the preparation and distribution of board packs and meeting agendas, attend meetings as required, take minutes, and track action points to completion.
  • Manage shareholder enquiries, process share transfers, and support the preparation of AGM materials, including shareholder communications and proxy forms.
  • Ensure compliance with the Companies Act, FCA regulations, and other legislative requirements. Assist with regulatory filings and responses to audits.
  • Collaborate with finance teams and auditors to prepare financial statements and support year-end processes.
  • Administer corporate actions and support dividend processing in coordination with fund managers and registrars.
  • Act as the main contact between the investment trust and third-party service providers, monitoring service levels and escalating issues as needed.
  • Draft correspondence, maintain statutory and corporate documents, and support document control procedures.
  • Perform reconciliations of trust data and update internal systems with accurate information.
  • Contribute to process improvements to enhance operational efficiency.
Experience and Skills Required
  • Investment trust administration experience and/or ICON fund accounting system knowledge
  • Strong attention to detail and accuracy
  • Effective communication skills with stakeholders
  • Ability to meet deadlines under pressure
  • Proactive problem-solving skills
  • Motivated team player with responsibility and leadership qualities
