Job Description:
We are currently recruiting for a National Financial Planning practice who are looking for a Senior IFA Administrator in their Henley-on-Thames office.
Job Purpose
The Senior Administrator will provide high quality administrative support to our Financial Planners toenable them to provide an outstanding service to their clients.
Principal Accountabilities
- Client meeting preparation including issuing letters of authority and collating information for FinancialPlanners / Paraplanners
- Preparing valuations and mailings
- Assist in product research and information gathering
- Obtaining illustrations from Assureweb and product providers
- Processing new business applications, checking all compliance aspects and chasing them through tocompletion
- Dealing with existing business queries
- Producing client review packs for Financial Planners
- Preparing and maintaining client files on Intelliflo (IO):-
- Collate all the quantitative detailed information required to support any recommendations to bemade
- Ensure all relevant paperwork held within a client file for the report is present, relevant andcompliant
- Ensure all appropriate ‘know your client’ information has been obtained and can be demonstratedwithinthe relevant client file
- Organising and maintaining effective filing and communication systems in the office including clientdatabase management on IO
- General office administration including opening, distributing and logging post
- Ensure all dealings with clients are carried out in a professional and courteous manner
- Ensure all supporting documentation is maintained as per company procedures
- Maintain all standards of performance as required by the firm
- Ensure all mandatory annual Compliance and Anti Money Laundering training is complete and up to date,and be able to demonstrate a satisfactory level of understanding and responsibilities;
- Comply with the firm’s Compliance Manual, Human Resource Procedures, and other policies andprocedures. Where those policies and procedures are not clearly defined individuals are expected tohighlight this and work with relevant teams to make the necessary improvements;
Knowledge, Experience and Skills
- The requisite generic knowledge and qualification being at least FPC qualified or equivalent
- Ideally educated to at least A level or equivalent standard
- Maths and English GCSE or equivalent at Grade B or above is preferable
- Significant experience of working with a Financial Advisor or comparable
- Understanding of the provision of advice to clients in a compliant manner as detailed in the firm’scompliance manual and procedures.
- Good IT skills including the use of Microsoft Office
- Knowledge of Intelliflo (IO) or similar client database system would be an advantage
