The Senior Executive Assistant will provide top tier primary support for an International Executive role (COO) with secondary support for other executives as may be required. A master of organisation and efficiency, managing seamless coordination of their complex schedules, priorities and strategic initiatives.

The role will also manage and co-ordinate meetings and critical internal projects for the areas they support. Liaising with multiple countries and stakeholders daily ensuring seamless operations. Compiling data, preparing reports and analysis to support their Executives to make informed decisions. Maintaining a high level of confidentiality and handling sensitive information on a day-to-day basis.

  • Accountable for the efficient running of Executives diary, directing schedules in accordance with the strategic priorities of their function and applying smart scheduling principles
  • Organize and coordinate executive meetings for international country and functional leaders
  • Support the COO in strategic initiatives and special projects
  • Responsible for expenses management; including submissions and management of approvals
  • Responsible for meeting coordination – creating agendas, clarifying roles of attendees, attending as required, taking minutes and tracking actions
  • Manage Executive’s travel including establishing visit objectives, creating agenda, scheduling of meetings, coordination of activities, travel, and hospitality bookings
  • Support general administrative activities, including completion of compliance activities (mandatory training, functional policy, and process updates), leader performance activities (submission of performance reviews, talent assessments)
  • Content creation and preparation of presentations, reports and talking points in All Hands, Town Halls, and other events.
  • Event management for department All Hands, Executive visits, and functional events
  • Assisting the leaders, as requested, and prioritized, in management and leadership activities including providing Workday reports and key metrics, coordinating data collection for business review content
  • Working with the executive assistants across the globe in support of wider company initiatives and events, e.g. town halls, and overall coordination of meetings across multiple time zones
  • Additional duties as assigned

Essential Skills and/or Certifications:

  • Bachelor’s Degree with 5 years’ + experience of supporting Executive level management and corresponding teams, ideally in a global matrixed organization
  • Strong inter-personal skills with the ability to build relationships within and across multiple time zones & countries
  • Ability to work proactively, be detailed oriented, manage multiple priorities and pivot quickly when priorities shift
  • Strong ability to communicate effectively, collaborate and influence cross functionally & internationally
  • Must be able to work overtime occasionally or flexible hours based on business needs
  • Maintain absolute confidentiality and act with discretion
  • Experience of Workday/Power BI is desirable
  • Proficiency in Microsoft Office Suite skills
