JOB SUMMARY

Storyblok is seeking a highly organized and proactive Executive Assistant/Marketing Programs Manager to support our Chief Marketing Officer (CMO). In this dynamic role, you will be responsible for providing essential administrative support, facilitating the orchestration of marketing programs, and contributing to strategic initiatives. Your ability to multitask, prioritize tasks, and build strong relationships will be essential for success in this position.

ESSENTIAL JOB FUNCTIONS

Executive Assistance: Manage the CMO's calendar and schedule appointments effectively, anticipating their needs and prioritizing tasks accordingly. Prepare and organize necessary materials for meetings, presentations, and travel, ensuring accuracy and completeness.

Handle travel arrangements efficiently, considering factors such as flight schedules and accommodations. Maintain confidentiality of sensitive information and documents. Build strong relationships across the marketing team and other functions to facilitate collaboration.

Marketing Team Operating Cadence: Maintain and update the marketing department's operating and events calendar, ensuring alignment with company objectives and priorities. Monitor and report on progress towards key OKRs, identifying potential risks and opportunities. Establish a quarterly cadence for reviewing and setting OKRs, ensuring they are aligned with overall business goals.

Marketing Merchandise: Oversee the operation and budget management of our merchandise requirements and procurement. Ensure we are stocked to meet the needs of the business and our distribution hubs can deliver within performant timeframes. Minimize customs fees and maintain governance over consumption. Source vendors and maintain the budget for merchandise procurement.

Marketing Programs Support: Support the Marketing Campaigns team by tracking project timelines, capturing progress, and assessing potential slippages. Coordinate and manage the team's calendar for meetings and cross-functional collaborations. Assist with the collation of budgets and financial tracking for marketing programs. Collaborate with the Global Events team to support the execution of events. Coordinate with guest and paid speakers to ensure their participation and logistics. Engage with venues to finalize event details and contracts. Provide on-site support during events to ensure a seamless experience for attendees.

Team Support: Foster a positive and collaborative team environment. Facilitate communication and address potential issues. Contribute to strategic decision-making and problem-solving.

EDUCATION AND EXPERIENCE

  • Bachelor's degree in Business Administration, Marketing, or a related field. Proven experience as an executive assistant, preferably supporting a C-level executive in a marketing or business development role.
  • Strong project management skills and experience managing complex projects.
  • Excellent organizational and time management skills.
  • Advanced proficiency in Office Suite and other productivity tools.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Experience working in a fast-paced, dynamic environment.
  • Knowledge of marketing concepts and industry trends is beneficial.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and accuracy.
  • Ability to adapt to changing priorities and work under pressure.
  • A proactive and solutions-oriented mindset.
