Contract: Temporary-to-Permanent (initial 12-month engagement with view to permanent)

Salary (permanent): £65,000–£75,000 benefits (DOE)
Purpose of the role
Provide high-impact, proactive executive support that protects the CEO’s time, leads the administrative support to the senior management team, and improves the speed and quality of decision making across the business.
Key Responsibilities
- Executive support & prioritisation:
- Own the CEO’s complex diary, inbox and meeting flow; anticipate needs and triage effectively.
- Prepare briefings, decision memos and speaking notes with clear context, risks, asks and next steps.
- Gatekeep thoughtfully; balance access with priorities and strategic outcomes.
- Senior Management, Board and Governance:
- Plan annual governance calendar; coordinate board/committee meetings, logistics and packs.
- Draft high-quality agendas and minutes; track actions to closure and maintain decision logs.
- Manage confidential materials in line with GDPR and company policies.
- Meetings, travel & events:
- End-to-end ownership of domestic/international travel, visas and itineraries; optimise cost vs. time.
- Schedule, host and document weekly exec/ops routines; ensure pre-reads and follow-ups are tight.
- Plan leadership offsites, client meetings and staff events.
- Stakeholder & communications:
- Act as first point of contact for Group partners, clients and regulators; handle queries with discretion.
- Draft executive communications, internal announcements and CEO town-hall content.
- Operations & special projects:
- Run light PMO for CEO initiatives .
- Build repeatable processes and templates that increase exec throughput (dashboards, trackers).
- Support budget tracking for CEO cost centres; process expenses and POs.
- Information management & tooling:
- Maintain an organised “single source of truth” (SharePoint).
- Create searchable archives of board/Management packs, briefs and correspondence.
- Management of other Executive Assistants:
- Ensure co-ordination of EA activities and coverage for Senior management.
- Develop SOPs ensuring delivery against requirements/objectives.

Skills And Experience Required
- 3+ years’ experience as an EA supporting C-suite in a fast-paced environment (scale-up, financial services, consulting or similar).
- Superb written and verbal communication; able to draft concise, executive-ready materials.
- Advanced MS 365 (Outlook, PowerPoint, Excel, Teams, Sharepoint) skills.
- Strong judgement, confidentiality, and stakeholder management at senior levels.
- Proven mastery of complex diary, international travel, and board meeting cycles.
- Excellent organisation, attention to detail, and ability to anticipate needs.
Desirable
- Experience in insurance/financial services or a regulated environment.
- Familiarity with board processes/secretarial requirements, and expense tools (Concur).
- Project coordination/PMO experience; basic financial literacy (budgets, variance).
- Degree or EA/Business Administration qualification; PRINCE2/Agile awareness helpful.

CEO time on highest-value priorities increased by 8–12 hours/week.Management/Board packs issued 2 working days pre-meeting; 100% actions tracked to deadline.Meeting readiness/briefing quality rated 9/10 by CEO (quarterly pulse).Travel/event budgets on plan; exceptions pre-approved.Inbox SLAs met (<24h external; <8h internal for priority items).
Zero data-handling or confidentiality breaches; mandatory training 100% on time.
Working Pattern & Flexibility
- Office based with core availability 08.30 – 17:30 (flex for peaks, travel and board cycles).
- Occasional early/late meetings across time zones.
- Regular UK travel 3-4 times monthly with occasional overnight stays. International travel may be required subject to Board requirements.
