An established industry player is seeking a Congress and Events Associate to support its presence at key international congresses. This dynamic role involves collaborating with various teams to ensure seamless event logistics and compliance. You will act as the main point of contact with third-party organisers, manage logistical arrangements, and contribute to the success of events through effective communication and project management. The Congress and Events Associate will support the organisation of Jazz's presence at Europe and International (EUR/INT) led congresses as well as Jazz internal meetings for 6 months.
Working within the EUR/INT Congress and Events Team, this role includes supporting on project management for events in accordance with the EUR/INT congress and events plan.
The role will require close collaboration with the Brand Teams, Compliance and Country affiliates to support Jazz's mission of delivering best in class congresses.
Job Responsibilities and Requirements:
Partner with Sr Congress & Events Managers to support the planning and implementation of the EUR/INT congress plan which may include the following:
Act as main point of contact between Jazz and 3rd party organisers. Liaise with 3rd party congress organisers to make congress arrangements
Partner with external agency to manage logistical arrangements for congresses including briefing, negotiating prices, setting and monitoring deadlines and ensuring that high standards are met.
Support with the development and approval of materials required at congresses including congress apps and exhibition stands
Manage pre conference briefings ensuring compliance is represented and driving congress best practice.
Work with third party agency to secure hotels and other venues, congress registrations, airport transfers and all other logistics for the Jazz group attending the congress
Ensure that agencies are working compliantly and in line with Jazz policies and procedures
Creation of post-event metrics reports to measure the success of events and recommend improvements moving forwardOrganisation of any ancillary Jazz events at the congress including Jazz organised HCP events and internal dinners/briefings
Advise brand team and med comms agencies on logistics for Jazz organised symposia
Any other congress logistics responsibilities as needed
Partnering with affiliates on congress arrangements
Contribute to regular congress updates with the affiliates, ensuring that everyone is kept up to date on congress arrangements and communicating deadlines as needed
Build relationships with congress leads in the countries ensuring that the C&E team maintains an approachable and flexible approach
Contribute to C&E team project to build betters ways of working with the affiliates
Company Meetings and Events
Support the Congress & Events team with logistics of company events such as Mid-Year Leaders’ Meeting as required
Provide on-site support and management as required to ensure event runs smoothly.
Other requirements
Assist in managing event budgets accurately
Build strong working relationships with marketing, medical and compliance teams to ensure the successful implementation of the EUR/INT congress & events plan.
Plan and attend site visits where necessary to ensure that venues etc. are of a high standard.
Work in collaboration with other members of the Congress & Events team to develop and maintain processes and materials related to congress and events
Required Knowledge, Skills, and Abilities
Have, or be working towards, a degree.
