Job overview
The post holder will provide comprehensive clerical and administrative support to the Day Treatment Centre. The successful candidate will have a friendly and approachable manner, dealing with inquiries via telephone and in person. The role requires the ability to multi-task, prioritize, meet deadlines, and work professionally with staff as part of a multidisciplinary team. Previous hospital experience is desirable.
Main duties of the job
- Handle all communication discreetly, respecting patient and staff confidentiality, and maintaining a polite, courteous, and friendly manner, especially when dealing with anxious or worried patients, visitors, and staff.
- Represent the department effectively as key personnel.
- Provide administration support, ensuring the desk is always staffed to handle queries.
- Complete patient discharges using hospital IT systems (Medway).
- Answer the telephone professionally, ensuring all calls are introduced with Trust name, department, and staff member’s name; prioritize and respond to queries and messages accordingly.
- Maintain accurate and up-to-date patient demographics on Medway, record patient activity, admissions, and discharges correctly.
- Use Anglia Ice to produce patient wristbands upon request by ward nursing staff.
- Manage and prepare patient records, including filing, collection, safe storage, and medical notes management using Medway.
- Book post-surgical follow-up appointments.

Detailed job description and main responsibilities
- Manage appointment bookings, cancellations, and queries promptly and professionally via phone, email, or in person.
- Arrange patient transport services following Trust policy.
- Coordinate translation services, including foreign language and sign language, as needed, in liaison with departmental managers.
- Allocate appointments efficiently, ensuring local and national targets are met, and escalate potential breaches immediately.
- Schedule appointments according to clinic profiles on Medway, ensuring clinics are adequately filled without overbooking, liaising with specialty PAs to open slots as needed.
