Job Description:

JOB PURPOSE

  • To provide efficient and effective administrative, clerical, and secretarial support to staff within the Primary Behaviour Support and Provisions.
  • The post holder should be capable of working as part of a team, display commitment, initiative, and handle confidential material. Flexibility and high-quality support within deadlines are essential.

FUNCTIONAL LINKS WITH

  • Other services within the Education Authority.
  • Other users of the service.
  • Other agencies as appropriate.

The post holder will maintain contacts within well-defined terms of reference.


MAIN DUTIES AND RESPONSIBILITIES

  1. Supervision
  2. Allocate, control, and monitor work of staff.
  3. Identify and provide on-the-job training.

General Administrative Processes and Records

  • Provide administrative, clerical, and secretarial support.
  • Develop and maintain manual and computerized information systems.
  • Maintain pupil records using EMS (Capita One), SIMS, and other systems.
  • Support research and investigations as required.
  • Assist in collating data and statistical information.
  • Prepare correspondence and support materials for courses.
  • Maintain effective recording and filing systems.

Purchasing and Supplies Administration

  • Use of (EA One) iProcurement system.
  • Monitor requisitioning, ordering, and resource distribution.
  • Arrange equipment maintenance and develop inventory.
  • Process invoices following procedures.

Finance

  • Maintain petty cash.
  • Assist with financial procedures and processing claims/invoices.
  • Manage monies related to the EOTAS centre.

Reception, Secretarial Duties

  • Respond tactfully to queries and issues.
  • Disseminate information within the service.
  • Handle communications and manage post.
  • Greet visitors and organize meetings and diaries.
  • Communicate with staff and external agencies.

Other Duties

  • Undertake other duties as required.
  • Maintain confidentiality and GDPR compliance.
  • Follow EA policies and procedures.
