What it's about

We are seeking a full-time Senior Assistant to provide essential support to the Partners Group Private Equity Goods & Products team. This position will play a crucial role in ensuring the efficient operation of the team.

Responsibilities:

  • Calendar management of internal and external meetings, conferences, and calls
  • Coordinate international and domestic travel bookings, using Concur and with external agency, prepare itinerary and logistics in Outlook including Visa application
  • Process expense reports using Concur
  • Maintain and update internal data and contact information in Outlook and internal database (DealCloud)
  • Review invoices for advisors and obtain the payment process with PO (Purchase Orders)
  • Assist with event and conference coordination, booking catering and restaurant reservations, as needed
  • Assist with booking interviews for the team and coordinate candidate management with HR Recruitment
  • Answer phones, screen and route callers, handle inquiries, and provide backup to other administrative assistants
  • Coordinate and attend Investment committees and Business Unit meetings including preparation of the agenda

What we expect

  • 5 years of administrative support experience working in a professional environment for a medium to large corporate entity, including support for executive and upper-level management or 5-star hotel management experiences
  • Relevant degree/qualified certifications or equivalent experience
  • Proficient in MS Office Suite, and demonstrated ability to quickly pick up new software and systems
  • Ability to work proactively, handle a large number of tasks while meeting deadlines, and perform well under pressure
  • Professional attitude with a friendly, outgoing demeanor to support client-facing department; enthusiastic team player contributing to a strong administrative support team
  • Organized with high attention to detail; ability to multi-task, prioritize, and manage time effectively
  • Excellent written and verbal communication skills; ability to maintain confidentiality and handle sensitive information with discretion
