Our client has a rewarding opportunity for an experienced logistician/shipping specialist to work within the Fine Art shipping department. The department is well established in the market with a healthy client base of commercial galleries, artists, museums, and private individuals.
With all the objects shipped being unique, it’s a role where no two shipments are the same. Whether it’s coordinating the import of 20 paintings from NYC for a gallery exhibition or packing a 60-tonne sculpture for sea freight to a Mumbai sculpture park, clients will rely on you to deliver high-quality logistics safely, efficiently, and economically.
The successful candidate will have a strong understanding of shipping procedures, good business acumen, be customer-driven, and possess a “can do” attitude for coordinating.
Previous experience as a Freight Forwarder or Shipping Coordinator (4+ years desirable). Involvement in the Fine Art and Luxury sector, or Event Logistics would be beneficial.
Responsibilities:
- Strategize the clients, personnel, and agents that should be targeted and developed.
- Support training and performance development plans within the team.
- Manage end-to-end logistics for the safe and efficient international transportation of high-value, delicate paintings and sculptures.
- Deliver high quality and professional customer service in the coordination of clients’ needs.
- Communicate effectively with both new and existing clients and provide ‘white glove’ client management.
- Build and maintain client relationships.
- Process job requirements and gather rates from international agents and internal departments (such as packing, transport, shipping, or projects).
- Produce estimated charges in a timely manner.
- Ensure accuracy and adherence to regulations and procedures.
- Liaise with all internal and external parties to schedule resources and provide regular updates to clients.
- Coordinate with and support members of the shipping team and other company departments, i.e., projects, transport, storage, and technicians.
- Collaborate successfully with external suppliers, maintaining excellent working relationships.
- Timely completion/instruction of necessary documentation such as AWB, B/L, CMRs, Warehouse and Packing Orders, Export Licenses, CITES applications, ATA Carnets, and instructing the customs department.
- Manage costings throughout the project to ensure they are in line with estimates; manage the client accordingly. Compile all relevant job costings, authorize purchase invoices, and prepare client invoices.
