Summary
This role provides administrative support for finance, recruitment, and the national embedding team within IMPACT, a project involving a team of 10 staff in marketing, communications, operations, and lived experience, mainly based in Birmingham. The successful candidate will have an interest in financial administration and be willing to work across various aspects of the role.
As a senior administrator, you will handle a broad range of administrative duties, some complex, and support colleagues by sharing knowledge and leading specific tasks. Flexibility to work in different university areas is expected.
Main Duties
- Manage complex systems and procedures, advising on responses to complex queries.
- Exercise judgment on work direction within managerial parameters, resolving complex queries independently.
- Act as a role model and coach team members.
- Maintain relationships with key stakeholders, managing enquiries and disseminating information.
- Organise events, including venue booking, invitations, refreshments, liaising with speakers, managing bookings, and feedback.
- Manage small projects and contribute to wider projects through research and data sourcing.
- Use university systems to analyze and interpret complex data, producing reports and resolving data issues.
- Support operational processes and systems development.
- Process complex data, monitor accuracy, follow up on missing information, and resolve issues.
- Provide advice and training to colleagues.
- Support committees and meetings with secretarial services.
- Monitor budgets, process payments, authorise expenditure, procure goods/services, and manage communications and facilities issues.
- Support equality and diversity initiatives.
Required Knowledge, Skills, Qualifications, Experience
- Educated to A Level or equivalent (Level 3 qualification or relevant work experience).
- Minimum Grade C/4 in GCSE Mathematics and English or equivalent.
- Experience in research support preferred.
- Highly proficient IT skills, including MS Office, complex electronic diary management, and enterprise resource planning software; quick learner of new IT tools.
- Ability to plan ahead, manage time effectively, and meet deadlines.
- Excellent written and verbal communication skills tailored to different audiences.
- Strong interpersonal skills, confidence, and customer service orientation.
- Professionalism, tact, diplomacy, and discretion with sensitive information.
- Initiative, judgment, resourcefulness, flexibility, and self-motivation.
