An exciting opportunity has arisen within our Commercial Property Management team in London, for a customer focused administrator. The post holder will take ownership of all relevant administrative duties, working alongside the property and asset management team providing efficient, high level support, including management of health and safety compliance, invoicing and client management, anti-money laundering checks and other compliance due diligence, call handling, typing and preparation of communications and documents, maintenance of file systems, diary management and other administrative duties as required.

The post holder will become part of a dynamic team of professionals, including administrators, surveyors and partners. Based within our HQ at London Chapel Place, our office has over 100 professionals across our main divisions which means there are lots of exciting events going on with various office socials, health & wellbeing and fundraising activities to get involved in.

Main Tasks:

  • Produce accurate and well-presented documents including reports, client correspondence, presentations and spreadsheets within agreed time frames, following accurate data inputting into TRAMPS or Excel.
  • Liaise with the health and safety administrators to ensure the health and safety trackers are kept up to date
  • Maintain close communication with other administrators across different divisions to ensure efficient running of the department at all times
  • Develop and maintain a working knowledge of compliance information such as money laundering and clients' compliance systems (for administrative purposes)
  • Assist Surveyors in the smooth day to day running of a nationwide portfolio of properties.
  • Man the helpdesk and respond within agreed timescales to enquiries or faults logged.
  • Assist with the preparation of annual property budgets and reconciliations.
  • Provide general administration and in house marketing support to commercial department.
  • Update records and maximise the use of databases to ensure all applicant details are up to date and to source potential fee generating opportunities.
  • Work strategically with other departments to develop new business development opportunities and for consistency and efficiency.
  • Assist surveyors with occasional site visits.
  • Carry out timely and accurate administration of databases.
  • Handling minor property repairs and maintenance issues.

You must have experience of working in a busy client focused environment, knowledge of the property industry is desirable, but not essential. Ideally you will have an interest in our industry, be eager to learn and work efficiently and effectively under the pressures of a thriving office.
