Senior Administrative Officer - salary range 41500 nego Reports to: School Business Manager / Deputy Business Manager

Line Management: Welfare & Attendance Assistant

Grade: Scale 6 (Points 18–20) – Subject to evaluation

Working Hours: 35 hours/week, 43 weeks/year (TTO + 3 weeks)

Tasks

Administrative Leadership:

Oversee daily office operations, support SLT and staff, manage internal/external communications, and maintain accurate MIS records (e.g., SIMS).

Admissions & Records:

Manage all admissions processes, update SIMS for new starters and leavers, and handle records transfer and end-of-year data tasks.

Attendance Monitoring:

Track daily attendance, follow up on absences, liaise with families and external agencies, and support improvement strategies.

First Aid & Welfare:

Lead on first aid provision, administer medication, manage medical records/supplies, and respond to emergencies as needed.

Stakeholder Communication:

Act as front-of-house contact for parents and visitors, liaise with staff and external agencies, and provide parent support where required.

General Office Duties:

Coordinate data returns (e.g., census), manage reports and assessments, oversee ParentPay and staff absence, and support diary/meeting logistics.

Safeguarding & Compliance:

Follow safeguarding procedures, maintain confidentiality, and complete required training and supervision.

Requirements

Essential Criteria:

  1. Must hold Level 3 qualifications in English and Maths.
  2. Willingness to undertake further training as required.
  3. Strong communication and interpersonal skills.
  4. Maintains confidentiality and demonstrates professional integrity.
  5. Proficient in using Microsoft Office and SIMS.
  6. Able to meet deadlines and work effectively under pressure.
  7. Has a clear understanding of safeguarding within an educational setting.
  8. Must hold a satisfactory enhanced DBS check.

Desirable Criteria:

  1. Previous experience in a school administrative role.
  2. Prior experience working in an office environment.
  3. Experience related to pupil welfare or attendance.
  4. Additional knowledge or training in safeguarding in education.
