Job summary

Yorkshire and the Humber Probation Service is seeking a Senior Administration Officer to provide corporate support to Divisional and cluster offices and to act as a key interface between Hub Manager, Business Manager and colleagues. The post holder will have line management responsibilities for Administrative Assistants, Case Administrators and other administrative staff.

The role focuses on efficient business support, health and safety compliance, and contributing to operational probation

Qualifications

• Senior administrative role providing corporate support to divisional, functional or cluster offices.
• Line management responsibilities for Administrative Assistants and Case Administrators.
• Interface between the Hub Manager, Business Manager and colleagues/partners.

Responsibilities

• Develop and implement business administration systems, databases and recording systems to support operational probation delivery.
• Preparation and collation of documentation to support divisional, functional or cluster activity and probation delivery.
• Maintenance of registers and inputting data, monitoring probation processes and ensuring timely completion.
• Collection and distribution of imprest monies and related records.
• Act as Vetting Contact Point for the relevant division/function/cluster.
• Monitor Travel Warrants, bus passes, cheque book requests and assist with Purchase Orders.
• Attend meetings and represent the Business Manager as agreed.
• Coordinate health, safety and fire activities including risk assessments, drills and training.
• Provide effective management and leadership to the team and support staff development.
• Write reports to support operation of the Division/Cluster/Function and participate in meetings.
• Contribute to the management of Division/Cluster/Function and ensure compliance with data protection.
