Job summary

A recruitment consulting firm is seeking an experienced Senior Admin Coordinator in Aberdeen. You will provide comprehensive administrative support to the Director and team, manage schedules, prepare reports and ensure accurate processing of financial documents. The ideal candidate will have strong organizational skills, substantial administrative experience preferably from the oil and gas sector, and proficiency in office applications. This is a PAYE contract role until November 2025 with possible extensions.

Job description

SENIOR ADMIN COORDINATOR

Our client, an Oil and Gas Operator in Aberdeen, is seeking an experienced Senior Admin Coordinator. This is a Core PAYE contract role initially until 30 November 2025, with extensions.

CONTEXT:

Provision of administration and secretarial support to all members of the Director and team.

The job holder will undertake a variety of tasks within the department and will be expected to gain knowledge of the team's activities to provide comprehensive support.

Provide efficient and confidential secretarial services to the Director, including diary management, email screening, reading material preparation, and supporting the wider team.

Coordinate weekly report compilation and monthly Performance Management Meetings, including preparing presentation slides.

Assist with maintaining JV Representative Committee Lists and upload to PaWS as required.

Ensure Committee Meeting paperwork is uploaded to DOC UK and cross-referenced on the schedule for audit purposes.

Manage subscriptions, keeping them up to date annually.

Raise financial documents (Requisitions) using SAP for SHEI&S, including stationery, business cards, and offshore protective clothing.

Organize meetings, book conference rooms, IT equipment, and coordinate catering.

Process expense claims, mission orders, training, and IT requirement forms accurately and promptly.

Arrange travel and hotel bookings via the CWT system.

Assist with timesheet processing and approval using SAP.

Update intranet pages as needed.

Manage PaWS system passwords, user creation, and bi-annual reviews.

Input GMS figures using Filezilla, GMS, and Heron (Excel) Reports as cover for the analyst.

Assist with other secretarial duties as required.

SPECIFIC REQUIREMENTS:

Minimum qualification of Ordinary/Standard Grade or higher, preferably with a recognised Secretarial Studies qualification.

Substantial administrative experience, ideally within the oil and gas industry or similar.

Strong written and oral communication, interpersonal skills, and a common-sense approach.

Excellent prioritization, time management, and organizational skills.

Numerical accuracy is essential.

Ability to meet short deadlines while maintaining accuracy.

Strong keyboard and typing skills, proficient in office applications such as Word, Excel, and graphics packages.

Understanding of corporate procedures and processes.
