Hours: 30 hours per week, Term time plus 2 weeks, 08:30 to 16:00 Monday to Thursday
The Academy is a member of the Education Trust. The Trust is an expanding multi-academy trust with 13 primary and 9 secondary schools.
The Role
They are looking for a hard-working and enthusiastic person with high standards and the ability to communicate and interact effectively with others as part of their school as a SEND Administration Assistant.
The SEND Administration Assistant will work (part-time) to support the SENDCO and SEND Team, including dealing with highly confidential and sensitive issues regarding learners, staff, and external agencies. The SEND team is a vital part of their student and family support service, with the aim to ensure students with Special Educational Needs receive high-quality provision.
Key Responsibilities
- Support the school in accordance with policies and procedures to meet aims, priorities, targets, and action plans.
- Liaise with all stakeholders including parents, families, learners, staff, external agencies, and Trust colleagues to ensure effective provision for learners with SEND.
- Provide the first point of contact within the SEND team for all communications.
- Triages communication to ensure effective responses to stakeholders; maintains statutory records and documentation using systems and filing; provides information to stakeholders for SEND provision; responds to deadlines.
- Prepares SEND paperwork such as EHCP applications, reviews, referrals, and maintains individual SEND records accurately.
- Oversees data entry related to SEND Support Plans, Overview, Provision Map, and other systems to inform planning and practice.
- Ensures the MIS system is updated with accurate SEND learner information for data analysis, assessment points, and census.
- Maintains an overview of caseload actions through effective record keeping.
- Coordinates the SENDCO's diary for effective time management.
- Arranges, attends, and minutes meetings as required.
- Provides excellent customer service and communication with staff, learners, parents/carers, and external agencies; responds to enquiries promptly.
- Builds effective professional relationships within and outside the school, including with SENDCO, SLT, staff, administration, and external partners.
- Responsible for day-to-day activities and general administration such as filing, correspondence, and post.
Skills and Qualifications
- Level 3 or above (A Level equivalent), including Maths and English GCSE (Grades A-C) or equivalent.
- Minimum of 5 years experience working in a school environment is desirable, preferably within the SEND sector.
- Experience of working in a school or administrative environment.
- Ability to prioritize tasks and decide their urgency.
- Knowledge of school systems such as SIMS or willingness to learn and undertake training.
- Focus on providing excellent services to staff, students, parents/carers, and visitors.
