This role is based in our Head Office in Central London (NW1 4LJ). We are offering a competitive salary of £31,000 per annum plus a fantastic array of benefits.

Established in 1932, The London Clinic is one of the UK's largest private hospitals, with 8 state-of-the-art facilities located in the heart of London's medical community around Harley Street. We cover a comprehensive range of services, including complex medical and surgical procedures plus a range of cancer services. The London Clinic has a supportive and warm working culture where your contribution is valued, and you can help us deliver our three core values of "We go further", "We work as one" and "We personalise care."

Job Profile

You'll be part of the team responsible for ensuring patient bookings, enquiries, and payments are processed accurately and efficiently. This includes outpatient, radiology, inpatient, pre-assessment and endoscopy bookings. Your role will involve working closely with patients, clinical teams, and sponsors to confirm appointments and admissions, and to ensure payments or authorisations are secured ahead of treatment.

  • Job Type: 12 Months Fixed Term Contract, working full-time hours of 37.5 hours per week
  • Salary: £31,000 per annum
  • Hours: Rotating shifts across Monday to Friday 7am-8pm, Sat 7am-5pm, Sun 8am-4pm
  • Location: 1 Park Square West, London, NW1 4LJ
  • Benefits package: Contributory pension scheme (total annual contribution up to 20%). Private Medical Healthcare. 33 day's annual leave (Inclusive of bank holidays). Season ticket travel loan, family friendly benefits, and a wide range of discounts with a variety of retailers/services, plus much more. We also offer excellent career development; with clear career pathways and access to further education.

What You'll Do

  • Process all patient bookings (consultant, outpatient, radiology, inpatient, pre-assessment, and endoscopy) to ensure appointments are accurately recorded and patients are ready for admission
  • Record detailed booking information in Meditech (including the Minimum Data Set and any special requirements such as prosthetics or high-cost drugs) so that all departments are fully informed and prepared.
  • Update Meditech with data from hospital registration and booking forms to keep patient records complete and accurate.
  • Liaise with clinical teams, wards and theatres to share updates or urgent changes, ensuring smooth coordination ahead of patient admissions or cancellations.
  • Send confirmation of appointments and admissions to patients (via post or email), including relevant clinic information, so they know what to expect.
  • Work with patients, insurers, and sponsors to arrange pre-authorisation or payment to make sure treatment can proceed without delays.
  • Capture and validate emergency or out-of-hours admissions so that billing and authorisation are handled correctly even outside of core hours.
  • Manage daily tasks and prioritise workloads to meet agreed service levels and maintain consistent support for patients and teams.
  • Contribute to improving how patient data is recorded to enhance data quality and streamline internal processes.
  • Build strong working relationships with clinical, finance and international teams to support an efficient and joined-up patient journey.
  • Support departmental needs and cover colleagues when required to help maintain service delivery at all times.

What We're Looking For

  • Excellent customer service skills and a proactive attitude
  • Previous admin experience in a busy, customer-facing setting (healthcare experience is a bonus)
  • Strong communication skills - both verbal and written
  • Confident using Microsoft Office and clinical systems (e.g. Meditech is a plus)
  • Experience in handling payments, billing or insurance processes
  • Ability to stay calm under pressure, prioritise and manage multiple tasks
  • A team player with a flexible approach to work
