The Ellison Scholars Programme, established by the Ellison Institute of Technology (EIT) in partnership with the University of Oxford, is a fully funded scholarship initiative aimed at nurturing future global technology innovators and leaders. Each year, the programme selects approximately twenty exceptional candidates worldwide who are passionate about addressing humanity's most pressing challenges.

The Ellison Scholars team is looking to recruit a professionally experienced and exceptionally organised Graduate Selection Coordinator who will facilitate and ensure the effective delivery of all selection processes for the Ellison Scholars programme, with a primary focus on graduate selection. Key responsibilities include coordinating the selection timeline and processes with EIT project teams, recruiting and coordinating a community of graduate assessors, providing extensive support to graduate applicants and finalists, and acting as the principal administrator for the graduate application form. The Graduate Selection Coordinator will have a comprehensive view of the entire graduate selection process with a view to improve these wherever possible.

Key Responsibilities:

  • Maintain, test, improve and update the online application form each year, becoming the in-house expert user.
  • Coordinate end-to-end selection of graduate students, which will including scheduling, availability tracking, and logistical support for applicants, graduate assessors and internal stakeholders.
  • Collaborate with internal stakeholders and project teams to ensure smooth delivery of each selection cycle.
  • Coordinate the recruitment and onboarding of assessors who will evaluate graduate application submissions.
  • Respond to applicant queries, trouble-shoot issues they have, and provide support throughout the application process.
  • Track, report on, and follow up on due diligence checks for graduate applicants.
  • Maintain materials and guides for the application process and resources for selectors
  • Support the planning and delivery of applicant information sessions.
  • Collect, analyse, and present data to evaluate the effectiveness of the graduate selection processes and identify areas for improvement.
  • Maintain strong working relationships across the collegiate University.
  • Collaborate closely with the broader Selection team and Scholars team to share insights and align efforts.
  • Line manage the selection administrator and other temporary administrators as and when required.
  • Provide support to the Outreach and Selection Manager and the Undergraduate Selection Coordinator as needed.


Requirements


Essential Knowledge, Skills and Experience:

  • Proven experience in administration and coordination within a busy team environment, managing multiple timelines and supporting the delivery of complex projects to set deadlines.
  • Exceptionally well-organised, with the ability to prioritise and manage competing demands
  • Excellent attention to detail.
  • Strong interpersonal skills and clear, effective communication.
  • Anaytical mindset. Confident working with data, including generating, interpreting, and reporting on surveys or datasets.
  • High level of technical proficiency, including excellent MS Office skills and confidence in learning new systems and platforms.


Desirable Knowledge, Skills and Experience:

  • Experience working in selection for large-scale, highly selective programmes, preferably for values-driven organisations or initiatives like the Ellison Scholars programme.
  • Experience working with international stakeholders across time zones.
  • Experience working and communicating with young people.
  • Experience tailoring communication to various audiences.
  • Experience in project management.
  • Good understanding of the University of Oxford.

Terms of Appointment:

You must be eligible to work in the UK with a willingness to travel as necessary.

You must be based in, or within easy commuting distance of, Oxford. This role requires you to work in the office a minimum of 3 days per week 2 of which must be a Tuesday and a Thursday.

During peak periods, some longer hours may be required and some working across multiple time zones due to the global nature of the programme.
