Job Description:

The Role / Location

The successful applicant will be joining an established team within the property management department to work in a site-based role in Belfast City Centre. Bedford House is a unique commercial office and retail hub located in the heart of Belfast City Centre. The building is 10 storeys and consists of 83,339 sq/ft of Grade A office accommodation with four retail units at ground floor level and a coffee shop at mezzanine level.

A high standard of professionalism is required to help deliver effective and professional security and building administration service that exceeds tenant and visitor expectations. The candidate must be proactive and capable of working on their own initiative, as well as providing administrative support to the wider team.

This is a public-facing role where you will serve as one of the main points of contact for tenants and visitors, working on a rotating schedule across two shifts.

Monday to Wednesday 07:00am - 16:30pm and Thursday to Friday 07:00am - 16:00pm

Monday to Wednesday 10:30am - 20:00pm and Thursday to Friday 11:00am - 20:00pm

Key Responsibilities

Security Duties

  • Ensuring the highest levels of security by monitoring CCTV, controlling secured areas and conducting daily patrols of the building and car park as per internal protocols. Taking corrective action as required.
  • Monitor entrances, exits and common areas via CCTV and routine patrols.
  • Greet and log visitors, contractors, and delivery personnel, using the access control system.
  • Ensure that all tenants, staff and guests comply with building security protocols.
  • Managing, receiving and responding to/attending emergency/intruder situations/callouts as the 'First Responder' along with an additional member of staff (as per rota). Managing emergency callout rota for the Security team.
  • Complete daily and weekly premises security logs.
  • Be a responsible keyholder and accurately maintain a key register.
  • Along with the rest of the team, being responsible for ensuring that procedures are in place for the secure control of all Master keys.
  • Opening and closing Bedford House at the hours stated in the rota.
  • Promptly and accurately reporting any potential security breaches.
  • Assisting the Facilities Manager to create, review and maintain an up-to-date Security Operations Manual and Standard Operating Procedures.
  • Inducting and training on-site Security personnel upon introduction of the procedures and on any future revisions/updates.

Maintenance Duties

  • Carry out minor repairs and routine maintenance tasks (changing light bulbs, unblocking toilets, minor painting, cleaning HVAC filters).
  • Complete weekly low-level flushing.
  • Complete weekly tests of the fire alarm system.
  • Monitor building systems and take routine readings, report any faults to the building manager.
  • Assist with setting up meeting rooms, moving furniture and other tenant support as needed.
  • Maintain cleanliness and order in areas such as carpark, loading bays and entrances.
  • Monitoring and responding promptly and effectively to all health and safety issues. This may include the provision of first aid assistance or carrying fire warden duties as required (when suitably trained).
  • Completion of relevant maintenance logs, incident reports, accident books, etc.
  • Ensuring that a high standard of general housekeeping is maintained and reporting any irregularities to the Building Manager.
  • Producing weekly/monthly reports to the Facilities Manager in an agreed format.
  • Regularly inspecting facilities as per an agreed schedule, or as required.
  • Carrying out routine/minor M & E maintenance work as appropriate in the first instance and reporting to the Building Manager any maintenance work required to be carried out by contractors.

  • Hold an SIA license.
