Description of role:

This is a full-time role working an average of 37 hours a week, with some requirement for flexibility around business needs. You will be providing support to the business manager of an estate relocation project, who has cerebral palsy and requires support to be able to work. Your role is to facilitate the areas of the job that she is unable to do herself, through taking instruction about work that needs to be completed on the business manager's behalf, live or recorded dictation, and minutes. Due to the nature of this role, you will be required to work and take leave in line with the business manager's working pattern. The role is based in Spring Gardens but will move to Stratford sometime in 2025. The selected contractor would not be able to claim for excess fares or the NCA relocation policy. Tasks include but are not limited to:

  • Touch typing from live oral dictation or audio typing from voice files in various formats (e.g., emails, PowerPoints, diagrams, text paragraphs, bullet points, spreadsheets).
  • Performing admin duties on behalf of the business manager, including booking travel, printing documents, and using company platforms.
  • Proficiency in Office M365 and Windows 11; familiarity with MS Teams and SharePoint for remote work.
  • Providing diary and inbox management, organizing meetings and calls, and managing emails and agendas.
  • Taking good contemporaneous notes during meetings or courses, understanding and paraphrasing content.
  • Updating databases, action logs, and tracking tasks like briefings, agendas, and correspondence.
  • Proofreading and editing documents, including spelling, grammar, layout, and comments.
Mandatory Requirements:
  • Personable, flexible, patient, and able to work 1:1 support with an individual while balancing team involvement.
  • Fluent in written and spoken English, capable of writing or typing under instruction and reading large texts.
  • Touch typing at a minimum of 60 WPM.
  • Experienced minute taker and/or secretary.
  • Experience working 1:1.
  • Existing SC clearance.
Interview Process:

All candidates meeting mandatory requirements will have an interview with the business manager, including a skills and experience discussion and practical dictation activities.
