Job Description:

Were looking for a motivated and enthusiastic Administrator, to join a condition monitoring company and leading provider of plant reliability products and services.

The Scotland Administrator & Planner will be responsible for providing administrative support to the Asset Management team along with routine and ad hoc planning for the AM team in Scotland. This will also include equipment ownership of certain stores, support for oil analysis sample processing, calibration support and goods receipt and dispatch.

This Scotland Administrator & Planner is in place to lessen the administrative burden on the current management structure, therefore you will be performing a varied role, reporting to a variety of different members of management.

Key Duties & Responsibilities

  • Asset Management Team Administration
    Answering/screening telephones calls | Booking in visitors and meeting rooms | Handle parcel collections | Complete invoicing and creating quotes for Scotland team | Primary contact to track and raise support with internal group IT dept | arrange marketing materials | Track Asset Management equipment
  • Training Support (External)
    Ensuring course control sheets are updated, booking forms recorded and all delegate paperwork is prepared | Handle all external training requests and provide quotes | Carry out invigilator function for exams in Scotland as required
  • Training Support (Internal)
    Apply for ECITB funding for all internal candidates | Arrange courses with providers and ensure internal staff are informed
  • Planning
    Owning the online planning tool for the Scottish team | Liaising with customers concerning planning of work scopes | Informing offshore customers of engineer details and using any customer-specific systems to book offshore flights
  • Stores Management
    Booking in and booking out equipment on Machine Sentry | Supporting the Asset Management Administrator in dispatching and receiving equipment
  • Oil Analysis Support
    Dispatching fresh sample cases to customers | Dispatching registered oil samples to the lab | Refilling sample cases | Registering samples on the labs online portal

Skills & Experience

  • GCSE or equivalent in English and Mathematics
  • Microsoft Office knowledge at intermediate level
  • Ability to work alone and set own targets
  • Desire to provide exceptional customer service
  • Ability to work on your own initiative and under pressure
  • Ability to work as part of a small team
  • Ability to promote, embrace and manage change
  • Contribute to a happy working environment
