Job summary

Mundipharma Cambridge is seeking a proactive professional to manage the contracting process for global vendors and consultants within Scientific Affairs. You will drive contract negotiations, invoicing and accruals, while supporting an efficient outsourcing approach to secure competitive services.

You will lead and develop the Vendor Management group, collaborating with legal, quality and finance to ensure compliant budget tracking and vendor performance across key projects.

Responsibilities

  • Manage RFIs and RFPs for Scientific Affairs and support vendor negotiations.
  • Handle financial administration: invoices, PRs, eCafs in the finance system.
  • Track spend against PRs/POs and update as needed.
  • Collaborate with Legal, Quality, Finance and procurement for vendor assessments.
  • Work with finance to track budgets and seek efficiencies.
  • Ensure MSAs and Statements of Work are up to date with key vendors.
  • Line manage the Vendor Management group within Scientific Affairs.
  • Support development and maintenance of processes and SOPs in Scientific Affairs.

Role overview

You will manage the contracting process for global vendors and consultants across Scientific Affairs (SA) by driving the contracting process, invoice and accrual management. Support the deployment of an efficient and cost-effective outsourcing approach by ensuring Mundipharma is receiving services under the most competitive conditions. Provide process support to Scientific Affairs by managing audit responses, process / SOP development and process updates utilizing systems in use within the Company. Provide leadership and strategic direction to the Vendor Management group within Scientific Affairs.

Key Responsibilities:
  • Manage Requests for Information (RFI) and Requests for Proposal (RFP) activities in Scientific Affairs and support contract negotiations with vendors.
  • Financial administration; monitoring invoice payments, raising purchase requisitions (PR) & eCAFs for approval and uploading these into the finance system.
  • Managing the process of tracking spend against PRs/POs and proactively updating PRs/POs where required.
  • Work with the function leads, business stakeholder (e.g. Legal, Quality and Finance) and procurement for new vendor assessment and compliance checks where applicable.
  • Collaborate with the function and finance team to ensure effective budget tracking and management, proactively seek efficiencies where possible.
  • Monitor Purchase Orders, values for contracts and running rates / accruals for key vendors/projects.
  • Following Procurement processes, ensure that the MSA and SoW with all key vendors are put in place and maintained up to date and appropriate for the activities they perform.
  • Line manage and lead Vendor Management group in Scientific Affairs.
  • Support Scientific Affairs with management of processes and SOPs.
Experience & Qualifications
  • Previous experience managing external vendors to deliver outsourced activities efficiently and effectively OR experience of working in a Pharmaceutical environment.
  • Good understanding of the structure of a pharmaceutical company and clear understanding of the activities within Scientific Affairs
  • Strong ownership and problem-solving skills.
  • Project management and planning capabilities.
  • Excellent negotiation skills especially with regards to commissioning and overseeing vendor service delivery.
  • Excellent communication skills and ability to engage with partners effectively.
  • Excellent collaborator with strong customer and stakeholder focus.
