Job description

The School Receptionist is responsible for delivering a high level of customer service and administrative duties.

Duties & Responsibilities

Reception & General Administration

  • To act as a first point of contact with the School for parents and visitors.
  • Maintain a welcoming environment and ensure the reception area is safe for all visitors, staff, and pupils.
  • Arrange hospitality for visitors and ensure that the reception area is maintained and all equipment is appropriately stored.
  • Answer the main school switchboard and check voicemail messages.
  • Answer telephone calls politely and courteously, promptly forwarding accurate messages to relevant staff.
  • Deal appropriately with face-to-face enquiries from visitors, parents, staff, and pupils.
  • Contact parents, colleagues, and external organisations in a polite and courteous manner as appropriate.
  • Ensure parent and visitor signing in/out checks and health and safety processes follow the latest 'Keeping Children Safe in Education' guidance, completing all necessary paperwork.
  • Supervise signing in/out of all sixth form students.
  • Develop constructive relationships and communicate with other agencies and professionals.
  • Distribute or manage Tutor boxes.
  • Receive and disseminate post and parcels; manage franking and posting.
  • Follow procedures for evacuations, lockdowns, and printing registers.
  • Assist with mailing and distribution of documents and communications.
  • Respond to emails, texts, or escalate to relevant staff if required.
  • Word process documents, reports, and letters.
  • Photocopy, laminate, shred, and scan documents.
  • File and record information in accordance with the school's retention schedule.
  • Update school databases.
  • Undertake minor first aid when required.
  • Contact parents regarding non-attendance on first unapproved absence.
  • Monitor lost property and ensure items are returned.
  • Maintain front office systems for efficient school operation.
  • Provide administrative support for open events, tours, and parents’ evenings.
  • Support during examination periods, including administration and covering reception on Results days in August.
  • Maintain confidentiality of staff and pupil records, complying with GDPR and FOI Act.
  • Provide data and information to staff as needed.
  • Print ID cards for new staff.
  • Report concerns in line with NSMAT policies.
  • Adopt a flexible approach to other administrative tasks as directed by the School Business Manager/Office Lead.

Support for the School

  • Comply with policies on child protection, health, safety, security, confidentiality, and data protection, reporting concerns appropriately.
  • Support equality and ensure all pupils have equal access to learning opportunities.
  • Contribute to the ethos, work, and aims of the school.
  • Appreciate and support the role of other professionals.
  • Attend relevant meetings.
  • Participate in training, learning activities, and performance development.
  • Perform any other duties as directed by senior staff.
