A well-established Secondary School in Exeter is looking for a highly organised, approachable and reliable School Administrator to join its administration team on a full-time, permanent basis. This is an excellent opportunity for an experienced administrator who enjoys working in a busy school environment and takes pride in providing an efficient, professional and welcoming service to students, parents, staff and visitors.

The successful candidate will become an important part of the school's wider administrative function, supporting the smooth running of day-to-day operations and ensuring that the school office remains organised, responsive and professional at all times. You will work closely with members of the senior leadership team, teaching staff, support staff, students and families, meaning excellent communication and the ability to build positive working relationships are essential.

This would suit someone who has previous experience working within a school, college, education setting or busy office environment and who is confident managing multiple priorities throughout the day.

Administration Team

Key Responsibilities

Provide efficient day-to-day administrative support to the school.

Act as one of the first points of contact for parents, visitors and other members of the school community.

Answer telephone calls and respond to enquiries professionally and promptly.

Deal with general email correspondence and ensure messages are passed to the appropriate member of staff.

Welcome visitors to the school and follow relevant signing-in and safeguarding procedures.

Maintain accurate administrative records and ensure information is kept up to date.

Assist with the preparation and distribution of letters, forms, notices and other school communications.

Support staff with photocopying, printing, filing and general administrative tasks.

Maintain organised electronic and paper filing systems.

Assist with student-related administration and documentation.

Support the organisation of school meetings, events and appointments.

Liaise with parents and carers regarding general administrative queries.

Assist with admissions and student information where required.

Update internal systems and databases accurately.

Help maintain confidentiality when dealing with sensitive student, family and staff information.

Process incoming and outgoing correspondence.

Assist with maintaining inventories and ordering office supplies.

Support attendance-related administration when required.

Assist senior and administrative staff with reports, spreadsheets and general documentation.

Ensure routine office tasks are completed accurately and within agreed deadlines.

Follow school policies and procedures at all times.

Contribute positively to the wider administrative team.

Person Specification

The school is looking for someone who is organised, dependable and confident working in a busy environment. You should be comfortable managing several tasks simultaneously without allowing the quality of your work to drop.

You will need excellent written and verbal communication skills and should be confident communicating with parents, staff, students and visitors in a professional manner.
