Scheduling Co-Ordinator

We are looking to recruit a 37.5 hour Band 3 AdministrationAssistant to work with the Community Continence team based at Clarendon,Hebburn.

The post holder will be one of a team ofadministrative support staff who provide essential administrative functions,whilst interfacing with clinical and administrative staff. The service is fast paced and you would be expected tocarry out a variety of administrative tasks.

Candidatesmust be able to demonstrate they have the ability to communicate effectivelywith people at all levels by telephone and in person. Excellent organisationalskills, flexibility and time management are also essential. Accurate data input skills are alsonecessary. You should have provenexcellent keyboard skills and a working knowledge of software packages

Main duties of the job

To provide an administrative service to theplanned care team, supporting the provision of an efficient and effectiveservice to patients, service users and staff within the Department.

Ensure accurate andtimely updating and inputting of patient details, appointments and informationinto clinical record (EMIS).

To provide a range of administration and clericalsupport including those resulting from telephone calls.

Responsible for processing supplies orders andkeeping an accurate record of expenditure.

Communicate with all appropriate staff groupsand agencies as part of the service requirements in an effective andprofessional manner.

To effectively deal with telephone enquiriesrelaying information to team.

Provide clinical information to support ongoingservice development.

To be a key member of the multi professionalteam.

Qualifications
  • GCSE Maths and English C or above, or equivalent
  • Level 3 qualification in administration or other relevant subject or equivalent vocational experience which provides a working knowledge of: Prioritising patients using a waiting list and basic medical terminology linked to referrals for elective patients on RTT pathway.
  • Knowledge of Meditech.
  • Knowledge of Emis.
Skills and Knowledge
  • Proven Interpersonal /communication skills.
  • Effective organisational skills.
  • Able to work without supervision.
  • Use of Meditech PAS, NHS e-Referral System.
Experience
  • Vocational experience working in an NHS booking office.
  • Familiar with medical terminology related to elective referrals on RTT pathways.
  • Working in a customer focussed/service environment.
  • IT Skills and demonstrate experience in word processing, spreadsheets and databases.
