This role involves coordinating scheduling and invoicing services for clients and Care Professionals, ensuring high-quality service delivery.
The Role
- Build effective schedules around clients and Care Professionals, considering travel, holidays, training, and cancellations.
- Respond to schedule changes and liaise with relevant team members.
- Match Care Professionals to new clients and coordinate introductions.
- Maintain consistency in client schedules and Care Professional assignments.
- Manage staff sickness and ensure appropriate coverage.
- Develop positive relationships with clients and Care Professionals.
- Collaborate with recruitment to meet staffing needs.
- Coordinate care packages with the Care Team.
- Maintain client and Care Professional information in the scheduling system.
- Participate in out-of-hours on-call rota.
- Support care visits to ensure quality and continuity.
- Handle invoicing, billing, and collections, including reconciliation and processing via Xero.
- Support payroll processing for Care Professionals.
Qualifications
- Experience in scheduling and invoicing roles in home care or logistics environments.
- Proficiency with IT systems, including Microsoft Office or Google Suite, and CRM software.
- Strong communication, resilience, and organizational skills.
- Ability to work under pressure, multi-task, and pay close attention to detail.
- Customer service experience and excellent telephone manner.
- Experience with payroll and financial responsibilities.
