This role involves coordinating scheduling and invoicing services for clients and Care Professionals, ensuring high-quality service delivery.

The Role
  1. Build effective schedules around clients and Care Professionals, considering travel, holidays, training, and cancellations.
  2. Respond to schedule changes and liaise with relevant team members.
  3. Match Care Professionals to new clients and coordinate introductions.
  4. Maintain consistency in client schedules and Care Professional assignments.
  5. Manage staff sickness and ensure appropriate coverage.
  6. Develop positive relationships with clients and Care Professionals.
  7. Collaborate with recruitment to meet staffing needs.
  8. Coordinate care packages with the Care Team.
  9. Maintain client and Care Professional information in the scheduling system.
  10. Participate in out-of-hours on-call rota.
  11. Support care visits to ensure quality and continuity.
  12. Handle invoicing, billing, and collections, including reconciliation and processing via Xero.
  13. Support payroll processing for Care Professionals.
Qualifications
  • Experience in scheduling and invoicing roles in home care or logistics environments.
  • Proficiency with IT systems, including Microsoft Office or Google Suite, and CRM software.
  • Strong communication, resilience, and organizational skills.
  • Ability to work under pressure, multi-task, and pay close attention to detail.
  • Customer service experience and excellent telephone manner.
  • Experience with payroll and financial responsibilities.
