We’re looking for a highly skilled Scheduler with strong technical expertise in CAFM systems and Microsoft Excel (including pivot tables, data analysis, and dashboard creation).

Job Description

You will support the Technical Services Manager and client by leading the planning and coordination of all preventive, corrective, and general maintenance activities across multiple sites.

Exceptional organisational skills are essential, as you’ll manage a high volume of work orders while maintaining tight control over budgets, financial reporting, and KPI delivery.

Key Responsibilities

Use Planon CAFM to plan, schedule, and track maintenance activities daily, weekly, and monthly
Generate and analyse reports, creating dashboards using Excel and PowerPoint to support performance
Monitor budgets, support financial reporting, minimise WIP, and drive cost-saving initiatives
Participate in KPI meetings, delivering accurate metrics and providing data-driven recommendations
Assign and manage work orders across teams, subcontractors, and sites, ensuring timely completion
Maintain clear client communication, providing updates, reports, and handling service issues
Monitor contractor performance, manage SLAs, and lead process improvement initiatives

Professional and Personal Competencies/Qualifications

Schedule and prioritise work orders efficiently
Allocate resources and manage time effectively
Coordinate with contractors and vendors to ensure smooth operations
Plan and oversee preventive maintenance activities
Use CAFM or CMMS software for tracking and management
Maintain clear communication with teams and stakeholders
Keep accurate records and prepare reports
Ensure adherence to compliance and safety standards
