Job summary

Inntravel Limited is seeking three administrators to join our sales team in a hybrid role with two mandatory office days per week at Whitwell-on-the-Hill. You will support customer bookings through data entry, supplier liaison and CRM management, ensuring records are accurate and up-to-date.

The role focuses on administration, data integrity and system processes, with a strong emphasis on timely updates and collaboration with Sales and Aftersales teams.

Responsibilities

  • Accurately process and maintain booking records within internal reservation, CRM and operational systems.
  • Enter customer, supplier and booking information into the system accurately.
  • Update booking notes, documentation and records promptly following supplier responses or booking changes.
  • Monitor workflow queues, administration tasks and shared inboxes to ensure deadlines are met.
  • Process booking amendments, cancellations and administrative requests accurately and efficiently.
  • Create, maintain and organise booking documentation throughout the customer journey.
  • Maintain accurate customer and booking records within CRM platforms.
  • Support data cleansing and ongoing maintenance of CRM databases.
  • Assist with system reporting by extracting and validating booking and customer information.
  • Monitor system exceptions, outstanding actions and incomplete records.
  • Support process improvements to enhance data quality and operational efficiency.
  • Act as a key administrative contact for hotels, transport providers, rail partners, airlines and other suppliers.
  • Send booking requests and process supplier confirmations accurately.
  • Follow up on outstanding responses, availability requests and booking confirmations.
  • Resolve supplier administration issues by gathering information and coordinating internal actions.
  • Maintain accurate supplier records, notes and documentation within company systems.
  • Build and maintain positive working relationships with suppliers and operational partners.
  • Support the management of booking workflows from confirmation through to travel documentation.
  • Process booking documentation, travel information and operational paperwork within agreed timescales.
  • Ensure all operational procedures are followed consistently and accurately.
  • Support departmental projects and process improvement initiatives.
  • Ensure high levels of accuracy across all administration activities.
  • Conduct quality checks on booking records, supplier confirmations and customer documentation.
  • Maintain compliance with company policies, procedures and data protection requirements.
  • Identify administrative errors, inconsistencies or process gaps and take corrective action.
  • Contribute to continuous improvement initiatives designed to enhance efficiency and accuracy.

This is a hybrid role with a minimum of 2 days per week in our Whitwell-on-the-Hill office. Tuesdays and Wednesdays are mandatory office days. Due to the beautiful remote location, access to your own transport is essential. This is a full‑time position, however work life balance is important to us and so we are open to discussion on flexible working patterns (minimum 4 days per week).

Salary: £26,227.50p.a.

About the role:

We are looking for 3 administrators to join our sales team. You will play a key role in supporting the smooth and efficient administration of customer bookings throughout their lifecycle. This is a predominantly administration focused role responsible for maintaining accurate records, managing booking data, coordinating with suppliers, and ensuring all systems and documentation are updated correctly.

Working closely with both the Sales and Aftersales Consultants, the role ensures that all operational and administrative processes are completed accurately and within required timescales. The position is largely non‑customer‑facing and focuses on supplier liaison, CRM management, data integrity, and booking administration.

  • Accurately process and maintain booking records within internal reservation, CRM and operational systems.
