Job summary

St. James's Place Cirencester is seeking a proactive Resource Administrator to join our Advice Division. This entry-level, permanent role is based in Cirencester with a hybrid working pattern (3 days/21 hours per week).

You will coordinate complex diaries, respond to queries with professionalism, support ad-hoc projects, arrange travel, and help maintain records while providing essential PA support to the APO team.

Qualifications

  • Strong organisational and administrative skills, with the ability to manage multiple priorities, deadlines and competing demands effectively.
  • Experience providing administrative, business support, PA or coordination support within a professional office environment.
  • Excellent communication and interpersonal skills, with the confidence to build effective relationships and support senior stakeholders.
  • Strong attention to detail and the ability to accurately maintain records, schedules, documentation and administrative processes.
  • Good working knowledge of Microsoft Office applications, including Outlook, Word, Excel and Teams, with the ability to manage diaries, meetings and communications effectively.

  • Acting as a first point of contact and respond to queries (verbal and written) in a timely and professional manner
  • Providing support with ad-hoc projects and new initiatives as and when required
  • Arranging travel and accommodation in an efficient manner, providing a range of options/alternatives whilst adhering to budgetary guidelines
  • Proactively co‑ordinating and preparing agendas/meeting packs for meetings in a timely manner and ensure all required resources are available
  • Where required, attending meetings to take minutes and contribute during the meeting if required
  • Managing activities and workload autonomously
  • Maintaining and updating People data and key regulatory records including SMCR information

The Resourcing Team plays a central role within the Advice Division, acting as the engine that ensures the right people are in the right place at the right time. Combining resource planning, data insight, and operational support, the team works closely with leadership and operational teams to balance demand, capacity, and capability across the function. From managing helpline coverage to supporting projects and providing critical administrative coordination, the team enables the smooth day-to-day running of the division while helping it scale efficiently and respond to changing business needs.

The Resource Administrator plays a key role in supporting the Advice Policy & Operations (APO) management team through the delivery of professional administrative and PA support. The role also provides wider operational support across the APO function, helping to ensure the division runs efficiently and effectively.

Working across a variety of activities, the Resource Administrator will coordinate administrative processes, maintain key records and procedures, organise meetings and events, and provide vital support to the wider team.

You'll be a proactive problem‑solver with excellent communication skills, capable of building strong relationships and providing first‑class support to senior stakeholders and the wider team.

Desirable Criteria:
  • Previous experience supporting managers, directors or senior leadership teams through diary management, meeting coordination or PA activities.
  • Experience coordinating meetings, events, rotas, schedules or other operational activities across a team or department.
