Job Overview: The Acute In-patient secretarial team support a number of clinical and medical staff who deliver mental health care and treatment on our wards at the Becklin Centre and Newsam Centre. The service is looking to recruit a full-time secretary into this well-established team. If appointed, you will provide comprehensive secretarial support for both the consultants and the wider clinical team. You will be required to have a strong and professional work ethic, excellent communication, organisational, and customer service skills, and be able to multi-task to a high level. There may be elements of the role that will involve direct service user and carer telephone contact. There is an expectation that you will be highly IT literate. Previous experience of audio typing and minute taking is essential, as both duties will form a significant part of this role. You will be required to liaise with colleagues in other teams in the care group, and you would need a flexible approach to your work, under the guidance of the Team Coordinator, as you may occasionally need to work from other sites. The role is full time, Monday to Friday with working hours between 8.30am & 4.30pm.

Main Duties of the Job:

We need someone with excellent administration/secretarial skills, who is adept at dealing with the challenges thrown up by supporting a busy service. You must be willing to work flexibly within a challenging environment and be able to demonstrate good written and verbal communication, inter-personal, and administration skills. Responsibilities will include, but are not limited to:

  1. Producing and sending letters to service users and professionals.
  2. Audio typing using the Trust’s BigHand system.
  3. Typing and producing reports.
  4. Operating the patient CareDirector system.
  5. Minute taking of team and Trust meetings.
  6. Managing email inboxes.
  7. Ordering supplies.
  8. Other ad hoc tasks.

You will have good IT skills with experience of MS Word, Excel, and PowerPoint. There is also the expectation that you will provide cover for colleagues at short notice on your working day if required, as instructed by the Team Coordinator.

Detailed Job Description and Main Responsibilities: You will work as part of a team to provide a comprehensive, efficient, and effective secretarial and administration support service to the multi-disciplinary teams, under the direction of a Support Service Team Coordinator and supported by an agreed work plan. The job holder will provide day-to-day supervision and support for a designated admin team and will be responsible for liaison with other clinical and admin staff within Leeds & York Partnership NHS Foundation Trust, to ensure an efficient and consistent admin support service is provided.
