Regional Planning Administrator - Leicester

Salary up to £27,500 p.a. – dependent upon your skill set and experience

Working Monday to Friday 0800hrs to 1600hrs (1/2 hr unpaid lunch)

We are looking for a dedicated and organized Regional Planning Administratorto join our regional planning team at Volvo Trucks based in Bardon, Leicester. The successful candidate will be responsible for supporting the regional planning processes, ensuring the smooth coordination of planning activities, and providing administrative assistance to the team. This is a key role that will require strong communication skills, attention to detail, and the ability to handle multiple tasks in a fast‑paced environment.

What will you be doing

As a Regional Planning Administrator, you will liaise with our customers first hand, assisting with the planning of maintenance and repairs. Working closely with the Workshop team providing them with relevant and accurate information, ensuring the customers’ expectations are always managed.

  • Key customer contact and point of reference
  • Working with the workshop management team, ensure workshop scheduling and loading to maximise available capacity and utilisation
  • Clarify for the customer and the workshop the basis for the repair – Retail/Warranty/Contract
  • Gain customer agreement through selling the benefits of identified repair solutions in a professional manner
  • Produce sand explain repair order to customer during planning stage
  • Maintain customer contact information in workshop planner, CM and VDA
  • Ensure planning and communication that ensure all resources are available in advance of scheduled work (labour and parts)
  • Manage bookings for courtesy cars, collection & Plan and manage all truck monitoring cases with customer, relevant dealer and RTM / SDM delivery and waiting. Ensure that all active campaigns are allocated to the repair order
  • Manage all contractual and non contractual vehicle alerts and liaisewith the customer(s) or dealer(s) accordingly
  • Ensure that all proposed work is correctly specified based on standard IMPACT content and converted to GDS quotes
  • Be able to convert GDS quotes into repair orders
  • Ensure that all authorised work is properly codedon the repair order prior to handover to the workshop
  • Be able to convert a quotation into a workshop repair order
