Campus Services (CS) employs over 900 staff with a turnover exceeding £65m in the last financial year. CS plays a key role in the quality of the student, staff, and visitor experience, providing services across diverse areas such as the University’s sporting facilities, food and beverage, cleaning, conferencing, hotel operations, day nurseries, Portering, post, branded and own-brand retail outlets, visitor services and attractions (e.g., Winterbourne House & Gardens), student housing, transport, waste disposal and recycling. CS is a highly commercial organisation operating within the University context and has an ambitious strategic agenda, in terms of growing our service profile across both our Birmingham and Dubai campuses.

Worklink is the University of Birmingham’s on campus student casual work recruitment service, dedicated to helping students find flexible work on campus while they study. Our service enables students to earn money while they study, develop new skills through working in University roles and boosting their employability. We support University managers with our recruitment expertise to help them to find the best student candidates for their vacancies.

Role Summary

The purpose of this role is to support Worklink in developing and maintaining a student casual work service, working to place students across a range of University departments and roles on campus and provide end-to-end administration support for student casual workers.

The post-holder will contribute to end-to-end service administration support within the Worklink Team. You will ensure that advice and guidance provided are professional and customer focused at all times within our agreed service standards.The role will involve liaising with a range of University stakeholders, usually being the first point of contact for customers so a professional and customer service focused outlook is required.

The end-to-end process consists of two main areas: recruitment and onboarding, with the work being split into separate sections of the team. While the post holder will primarily work within the Recruitment section, there will be occasions where they will need to take on responsibilities typically handled by the onboarding section.

Main Duties

  • Managing recruitment campaigns including advertising jobs, shortlisting, issuing casual work offers and liaising with hiring managers to support them through the recruitment process.
  • Responding to queries in-person as well as via the Worklink Portal and telephone and escalating where appropriate.
  • Working collaboratively with the Worklink team to ensure recruitment and payroll deadlines are met.
  • Ensuring full compliance with employment legislation (Right to Work checks, working hours, assignment duration) and internal University policies.
  • Liaising with stakeholders including hiring managers, HR, Payroll and the IT Service Desk.
  • Attending events to promote the Worklink service to students.
  • Contributing to regular team meetings, one-to-ones and performance reviews ensuring that own skills are aligned to team, department, and University requirements.
  • Providing support and cover for other Worklink team members during demanding workloads and absence as part of own personal development.
  • Ensuring own activity meets agreed SLAs, milestones and KPIs.
  • Conduct data entry onboarding tasks including processing casual assignments on the system, ending assignments, conducting DBS checks when required for the job role.

Required Knowledge, Skills, Qualifications, Experience

  • Experience of working in a recruitment role.
  • A strong customer service focus and proactive approach to resolving queries.
  • Excellent communication skills and ability to adapt to a diverse range of customers.
  • Ability to work independently and manage own workload, including reacting to ever changing priorities within a fast-paced environment.
  • Excellent IT Skills including Microsoft Office, and ability to learn new software and processes.
  • Resilience when working under pressure.
  • Excellent attention to detail.
  • GCSEs to a minimum of grade C/4 in English and Mathematics grade C minimum (or equivalent level 2 qualification).
  • Able and willing to work flexibly. Normal office hours are between 8:30am and 5pm Monday to Friday, however some evening work will be required during peak periods. Additionally, the post holder is expected to work on weekends when events occasionally take place.

Dimensions

You will not be required to line manage anyone in this role or manage a budget.

Planning and Organising

You will be required to manage and prioritise a varied workload to deliver within required time frames. There is also a need to maintain an awareness of activity across the department and wider University as appropriate.

Problem Solving and decision making

You will be working under the direction of a senior manager, but with the autonomy to deliver the outputs required. You will be working within the framework of existing policies, processes and procedures for the department. You will take day to day decisions on what advice to give and for responding to and resolving queries.

Internal and External relationships

This role will be liaising with internal colleagues and stakeholders, and external stakeholders as well with an expectation on maintaining good working relationships with all.
